Crew is searching for an Executive Assistant for one of our owners with a background in Design!
Position Summary
The Executive Assistant provides administrative support to one of two hospitality company owners, including calendar management, correspondence, logistics, purchasing, and meeting coordination, while also contributing creative support through design initiatives, graphic design and social media assistance. This role serves as a liaison between the owner and departments and offers an excellent opportunity for an organized and creative professional to grow into executive support responsibilities.
The owner is highly creative and detail oriented. He requires a thoughtful assistant who is able to understand and act on shifting priorities, and who is able to interpret conceptual ideas and turn them into actionable tasks and duties. The owner works best with an assistant who is self-motivated and able to anticipate both the owner’s needs, and the needs of the business.
The ideal candidate combines strong organizational abilities with creative skill in graphic design and social media support. Must maintain confidentiality and handle sensitive information with discretion. Requires an independently motivated individual who can balance creative projects with administrative duties while supporting the diverse needs of the owner. Must be based in New York.
Essential Duties & Responsibilities
Administrative Support
- Assist with calendar management, scheduling meetings, appointments, and travel arrangements
- Help coordinate and prepare materials for meetings, including agendas and basic presentations
- Support owner communications by screening calls and emails as directed
- Handle requests from the owner while learning to manage competing demands
- Maintain confidentiality and handle sensitive information appropriately
- Prepare basic correspondence, reports, and executive documents
- Assist with special projects under supervision
- Support some expense reporting, invoice processing, and budget tracking
- Assist with meetings, investor relations, and business functions
- Help coordinate between departments to facilitate communication
- Handle appropriate personal tasks for owner while maintaining professional boundaries
Creative & Digital Support
- Create graphics, marketing materials, and visual content using Adobe Illustrator and Photoshop
- Manage and create content for company social media platforms as directed
- Develop branded materials for projects, meetings, events, and business communications
- Support marketing initiatives with creative design work as directed
- Maintain brand consistency across all visual materials
- Update and maintain digital presentations and marketing collateral
Minimum Qualifications
Required Experience & Education
- 1-3 years experience in graphic design, marketing, and/or administrative support
- High school diploma required; some college or design education preferred
- Portfolio demonstrating proficiency in Adobe Illustrator and Photoshop
- Experience managing social media platforms for business purposes
- Administrative or customer service experience preferred
- Executive support experience preferred
Technical Skills
- Advanced proficiency in Adobe Creative Suite (Illustrator, Photoshop required)
- Proficiency in Google Suite and Microsoft Office
- Basic understanding of design principles and brand consistency
- Willingness to learn new technologies including Toast POS, Resy, and expense management systems
