The Receptionist/HR Department Assistant provides the highest level of customer service to our internal and external customers and represent the organization at the front desk. This highly visible position will be responsible for performing various administrative tasks, responding to telephone inquiries, scheduling meetings, directing callers to appropriate parties, issuing security access and mail/FedEx. This position will provide support to the Corporate & Human Resources Departments.

DUTIES

  • Demonstrate skills in answering, screening, directing telephone calls to the appropriate party, and assist with inquiries. Must exhibit the highest levels of customer service to provide exceptional service.
  • Calendar management, which involves scheduling meetings with multiple participants in various locations/time zones and resolving scheduling conflicts.
  • Receive and interact with visitors in a professional, pleasant, and helpful manner (we have limited presence & visitors during this time)
  • Coordinate and schedule appointments with In/Out bound carriers, such as: FedEx and Post Office for pick up and troubleshooting issues.
  • Maintain supply room and replenish inventory when needed.
  • Receive shipped parcels, incoming mail, and distribute to each department.
  • Maintain visitor log and front desk duties on a daily basis.
  • Responsible for making new employee badges.
  • Update and maintain the company phone list, technical support, and sales contacts directories.
  • Must be able to use judgement and discretion to recognize an emergency situation and follow front desk emergency procedures and act accordingly.
  • Process expense reimbursements
  • Perform a variety of human resources duties, such as maintaining job posting log, entering training records, scheduling training, etc.
  • Other duties as assigned.

QUALIFICATIONS

  • Four years in a related field. Must be able to demonstrate a professional demeanor and appearance to represent Econolite in a positive and professional manner (smile in your voice).
  • Bachelor’s Degree in Business Administration, Marketing, English, Journalism or other related field.
  • An essential function of this role is having excellent punctuality and attendance.
  • Must have exceptional customer service skills.
  • Strong interpersonal, verbal and written communication skills.
  • Strong computer software skills using MS Office programs including Outlook, Word, Excel, and PowerPoint. Proficiency utilizing Teams technology. Ability to learn new programs quickly and thoroughly.
  • Ability to perform duties with minimum supervision and with great degree of accuracy.
  • Ability to take up new and different challenges as dictated in a constant changing environment.


COMPENSATION

The base pay range for this full-time position is $20.00-$23.00 per hour plus benefits. Pay ranges are determined by various factors, including role, experience, and location. The pay range displayed reflects the minimum and maximum target for new hire salaries for this position. Within the range, actual individual compensation is determined by various factors, including location, job-related skills, experience, and relevant education or training.
