The Procurement Specialist is responsible for sourcing, ordering, and managing pharmaceutical products, raw materials, and operational supplies for the company. This role ensures that the pharmacy maintains adequate stock levels, negotiates with vendors for best pricing and quality, and upholds compliance with all federal, state, and company procurement policies. The position plays a key role in supporting pharmacy operations by ensuring that medications and supplies are available when needed for patient care.
· Source, evaluate, and establish relationships with pharmaceutical vendors and suppliers.
· Negotiate pricing, contracts, and supply agreements to achieve cost savings while maintaining quality standards.
· Manage purchase orders and ensure timely delivery of medications, compounding materials, packaging, and general pharmacy supplies.
· Monitor inventory levels and collaborate with the Pharmacy Director and Pharmacist in Charge (PIC) to prevent shortages or overstock.
· Ensure all procurement activities comply with DEA, FDA, and state pharmacy regulations.
· Maintain accurate procurement and vendor records in accordance with company policies.
· Assist in auditing vendor invoices and reconciling discrepancies with Accounts Payable.
· Collaborate with pharmacy staff on forecasting medication needs and seasonal demand planning.
· Resolve supplier issues, including late shipments, backorders, or product recalls.
· Support continuous improvement initiatives to streamline the supply chain process.
· Report procurement metrics and trends to management for operational planning.
· Bachelor’s degree in Supply Chain Management, Business, Healthcare Administration, or related field (preferred).
· Prior experience in procurement, pharmacy purchasing, or supply chain operations required.
· Knowledge of pharmaceutical products, compounding materials, and cold chain supplies preferred.
· Strong negotiation, communication, and vendor management skills.
· High attention to detail and accuracy in recordkeeping.
· Proficiency with Microsoft Office (Excel, Word, Outlook) and inventory management systems.
· Ability to work independently while collaborating with pharmacy operations teams.
· Work performed in an office and pharmacy environment.
· Frequent interaction with vendors, finance, and pharmacy staff.
· Standard office hours with occasional after-hours vendor communication.
· Some lifting of boxes and supplies (up to 40 lbs) may be required.
· Full-time position, Monday–Friday schedule with flexibility and overtime as needed.
· Evening, weekend, and holiday shifts may be required.
