SUMMARY:
The Accounts Payable Specialist is responsible for processing and maintaining agency invoices for payment. The Accounts Payable Specialist also performs general office functions including keyboarding, filing, equipment operations and other similar functions.

DUTIES AND RESPONSIBILITIES: *

  • Operates office equipment such as computers, photocopiers, 10-key and postage meter.
  • Maintains all purchase order requisitions.
  • Matches all invoices to purchase orders.
  • Processes all invoices for payment.
  • Processes checks for payment of invoices.
  • Maintains vendor files.
  • Processes all Invoices for accounts receivable billing.
  • Prepares and maintains agency accounts receivable records.
  • Maintains petty cash funds.
  • Maintains work area and equipment in proper, safe and order manner.
  • Provides back-up support to the Receptionist, including answering incoming telephone calls and covering the duties of the receptionist for annual and sick leave, and covering during lunch breaks.
  • Assists the receptionist with opening and closing the agency at assigned times in accordance with the established procedures, as needed.
  • Attends training sessions, in-service seminars, and workshops and staff meetings.
  • Responsible for maintaining training compliance in accordance with FRA policies and procedures, state and federal regulations.
  • Performs other duties, as assigned.

MINIMUM EDUCATION AND EXPERIENCE: *

  • High School Diploma or equivalent.
  • Training and/or experience in computerized accounts payable equivalent to two years.
  • Two years general office experience.
  • Must meet agency insurance criteria for operating agency and personal vehicles on agency business (21 y/o and licensed 3 years).

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
Ability to maintain accounts receivable and vendor files in concise manner. Ability to type correspondence, reports and other material in proper professional format and style. Ability to efficiently operate standard office equipment including personal computer, photocopier,10-key and other similar devices. Ability to receive and execute written and verbal instructions and perform routine assignments without repeated instructions. Ability to prioritize work within general guidelines, direction and operating procedures. Ability to work cooperatively and effectively with other clerical and professional personnel. Ability to communicate effectively with the general public, participants and other agency personnel. Attention to detail, thoroughness and accuracy. Must be capable of reconciling accounts. Must have reliable transportation and maintain a good driving record. Must possess the knowledge and ability to utilize a computer. Ability to learn new software and hardware applications.
