Responsible for oversight of staff and operations within the Central Behavioral Services. department. Provide superior customer service to all internal and external customers. Create and maintain consistency and efficiency in processes and data collection to optimize data quality for Behavioral Services. Take initiative to problem solve all referrals to assure accuracy. Model exemplary communication skills with providers, internal departments, customer and caregivers. Perform data quality review to measure the performance of the Intake department, adherence to regulations and assist with overall business operations. Work with leaders to identify process improvement activities.
Responsibilities Job Description
Maintain day to day work flow in the Intake Department to ensure exemplary customer service for customers needing services.
Primary contact for customer concerns and questions regarding intake processes.
Responsible for documentation of all department standard operating procedures.
Provide reports to manage business operations i.e., referral statistics, scheduling data, phone metrics.
Assure all mandatory documentation is completed i.e., Service Agreements, Consents, ABNs, waivers.
Identify new payers as needed, to assure appropriate payment for services is provided and authorization is received.
Work with leaders, Intake Coordinators, and providers to identify and execute process improvement initiatives that promote customer satisfaction, employee satisfaction and financial/operational performance.
Lead daily huddles.
Supervise staff including hiring, orienting, coaching, evaluating and effectively managing performance to ensure staff possess the needed skills to deliver high quality service to customers.
Provide ongoing, continuous management oversight, and coaching to support the growth and development of employees.
Oversee assigned area to ensure appropriate distribution of workload and streamlined workflow.
Recruit/interview/hire staff. Coordinate orientation of new staff, and ensure ongoing education of current staff.
Provide mentoring, leadership and direction to staff.
Maintain and monitor the productivity level of the staff to maximize efficiency, assure adequate staffing levels, and control costs; approve timecards.
Complete timely performance reviews of staff according to policy.
Works with direct supervisor to create and adhere to financial goals/budget.
Ensure staff are trained on and knowledgeable about regulations and compliance pertinent to their role.
Answers inquiry calls in a respectful manner and assesses for special needs and/or accommodations.
Coordinates and facilitates all inquiry calls regarding Fairview Counseling Center services.
Uses excellent telephone etiquette and active listening skills.
Documents calls.
Assesses and prioritizes calls.
Qualifications
Required
Education
· Bachelor’s degree in human services or related field.
Experience
· 3 years of experience in behavioral health field or experience in a managed care organization working with behavioral health plans and/or reimbursement.
License/Certification/Registration
Preferred
Education
· Master’s degree in behavioral related field.
Experience
· Crisis intervention training.
· 5 years of experience in behavioral health field.
· Knowledge of behavioral health insurance plans, authorizations and reimbursements.
