Job Overview:

The Client Services Coordinator position focuses on four main responsibilities with the following priority: 1) lead the process of onboarding all new developer business into the FirstService within the West Region 2) responsible for the offboarding of communities within the West Region 2) ensuring overall compliance with populating internal software (Connect) for both new clientele, 3) responding to new client inquiries during the first 30-60 days of transition, and 4) provide administrative assistance to Client Service Team as requested.

Compensation: $22-24/hr

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Your Responsibilities:

CLIENT ONBOARDING

  • Retain expert knowledge of FirstService Residential's internal software systems (e.g.New Business Workflow; Connect, Jenark, Smartwebs, FirstSource).
  • Become proficient in understanding of the nuisances, state laws within each state (CA, AZ, NV)
  • Act as liaison for new development communities launched into FirstService and all communities exiting FirstService
  • Takes the lead position on working with outside resources through the transition process
  • Ability to communicate with developers, boards and incoming clients – meeting their needs and expectations
  • Demonstrates an ability to determine what information would be of benefit to a client and is able to prepare accurate comprehensive responses and/or recommendations
  • Become proficient in Developer Services role, including but not limited to understanding subsidy agreements, DRE budgets and phasing schedules, and Governing documents
  • Manage the upload of information (Info Center Questions) and documents into Connect and other internal software systems for newly launched communities.
  • Manage all deadlines and updates into Connect
  • Determine, in partnership with department leader and management team, any elements that are unique to the new client that needs to be populated within Connect
  • Set up the Connect website for new developments
  • Be the point of contact for the initial 30-60 days for new client inquiries that surround the transitions into FirstService Residential. Communicate with department leader's and Community Managers as necessary regarding inquiries, trends, and potential issues.
  • Follow up with inquiring client to ensure resolution and customer satisfaction.
  • Ability to prepare Launch agendas and lead meetings with internal FirstService team
  • Stay abreast of current industry trends and laws
  • Other duties as may be required

  • Set and communicate deadlines and follow through on tasks for newly transitioned clients
  • Must be able to work independently and in a team environment.
  • Intermediate knowledge of Microsoft Applications, especially Word, Outlook, Teams, and Excel.
  • Knowledge of Photoshop and InDesign preferred but not required
  • Ability to work under tight deadlines and consistently meet deadlines.

Education & Experience:

  • HOA community management experience preferred but not required
  • Proficient in English.
  • Good general math skills.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Must be able to work well under pressure and deadlines, as well as work independently and prioritize time effectively.
  • Ability to make decisions and solve problems creatively.
  • Valid California driver's license and State mandated vehicle insurance.
  • Must have reliable transportation and be able to drive to new client locations (or that of their prior management company) as required.

  • Must be able to lift 25 lbs.
  • Must be able to sit for extended periods of time.
  • Must have finger dexterity for typing/using a keyboard.
  • Talking and hearing occur continuously in the process of communicating with guests, supervisors, vendors and our clients. Bullet point any specific physical demands such as lifting requirements, standing or sitting, use of keyboard, etc.

Travel:

  • May include travel to regional offices or properties for Welcome Events or tasks related to onboarding new clients.
  • In addition, may have to retrieve association records from onsite or other management offices.
