Job Title: ADMINISTRATIVE ASSISTANT
Reports To: EXECUTIVE DIRECTOR
Position: Part Time
OVERVIEW
Flagstaff Shelter Services is in search of a detail-oriented individual with excellent communication and organization skills to conduct various administrative tasks for this nonprofit organization. Tasks will include (but are not limited to) assisting with payroll, coordinating the hiring of new employees, donation data inputting, mail runs and making check deposits. This is a Part Time (~20 hrs/week), Non-Exempt position with a pay-range of $23-$28 per hour (dependent on experience). FSS is an EOE.
ESSENTIAL DUTIES and RESPONSIBILITIES
Administration and Business
- Payroll – assist FSS accountant with the administration of timesheets and payroll
- Assist FSS Grants Coordinator with data pulling
- Give daily support to all staff as needed/requested
- Deposits- Makes deposits of monies to the Alliance Bank of Arizona
- Mail Runs- several times a week
- Hiring – managing job listings on multiple platforms, scheduling interviews, etc.
- Purchasing and ordering of office supplies
- Basic filing and office organization
- Donation & donor data inputting
- Donor pledge tracking
- Thank you notes – writing, reviewing and sending
- Assist the Executive Director and the Outreach Manager with special projects (as needed)
EXPERIENCE, EDUCATION, and QUALIFICATIONS
- High school education, GED or the equivalent
- Proficient on Microsoft Office (Word and Excel)
- Experienced in data entry
- Strong written and verbal communication skills
- Ability to take initiative and manage projects assigned through completion with minimal supervision.
- Ability to work effectively independently and as a highly resourceful team player under pressure and within deadlines.
- Ability to anticipate challenges and effectively resolve potential issues through creative problem solving.
- Ability to develop rapport and engender trust.
- Exhibits a positive attitude and professional demeanor.
PHYSICAL DEMANDS and WORK ENVIRONMENT
- Work can be partially remote with required weekly onsite work
