Position Overview
The Accounting Administrator is responsible for all accounting and financial functions of the association on a part-time basis. This role is well-suited for an experienced individual seeking flexible work, or an accounting firm that provides outsourced services to nonprofit or membership-based organizations.
This position requires someone who can work independently, maintain well-organized records, and communicate clearly with leadership. Continuity, trust, and attention to detail are essential.
Scope of Responsibilities
- Manage all day-to-day accounting activities, including accounts payable, accounts receivable, and general ledger
- Process and track membership dues, event revenue, sponsorships, and other income
- Maintain the association’s accounting system and chart of accounts
- Reconcile bank accounts, credit cards, and other financial accounts
- Prepare monthly financial statements and internal reports for leadership
- Assist with annual budgeting and cash-flow planning
- Coordinate year-end close and serve as primary contact for auditors and tax preparers
- Ensure compliance with applicable nonprofit accounting standards, internal controls, and state and federal reporting requirements
- Support financial reporting for the board of directors and committees as needed
- Maintain accurate, complete, and well-organized financial records
- Provide financial insight and administrative support to the Executive Director as appropriate
Qualifications (Individual Applicants)
- Degree in Accounting, Finance, or related field, or equivalent professional experience
- 5 years of full-cycle accounting experience
- Experience working independently with minimal supervision
- Proficiency with QuickBooks Online and Excel
- Strong understanding of GAAP and nonprofit accounting practices
- High level of integrity, discretion, and attention to detail
- Clear, professional communication skills
Qualifications (Accounting Firms)
- Demonstrated experience providing outsourced accounting services
- Experience with nonprofit, association, or membership-based organizations preferred
- Ability to provide consistent staffing and continuity of service
- Clear communication and defined points of contact
- Familiarity with audit coordination and nonprofit tax filings
Preferred Experience
- Prior work with trade associations or nonprofits
- Familiarity with membership dues billing and event-related revenue
- Experience preparing financial reports for boards or finance committees
