POSITION SUMMARY

The Central Scheduling Coordinator is responsible for scheduling patients who are in need of our services and communicating the services that provide the best standards of care possible. The CSC will perform all necessary follow-up steps after scheduling, including verifying insurance information, confirming the appointment with the patient and preparing documentation required for treatment. The Central Scheduling Coordinator must have a full understanding of the services and retail items provided. The CSC must project a warm, enthusiastic and friendly demeanor while interacting with clients and team members.

ESSENTIAL FUNCTIONS

  • Schedules appointments following the FYZICAL model and enters appointment dates and times into a computerized schedule system;
  • Answers, records and responds to incoming calls requesting to schedule an Evaluation;
  • Respond to any doctor office requests in a timely and courteous manner.
  • Communicate effectively through emails or notes to the scheduled PT’s notification of cancellation, reason for cancellation and indicate if the patient has rescheduled.
  • Answer the telephone and respond to the inquiry or identify and escalate calls to the appropriate personnel, fax or scan essential documents.
  • Enter patient payment into the EMR system ensuring accuracy for services provided and compliance.
  • Anticipates and addresses client needs and communicating professionally and effectively;
  • Reflects Company culture by treating every client with the utmost courtesy and attention;
  • Possesses superior interpersonal and communication skills, maintaining a positive and supportive work relationship with others;
  • Communicates through phone, fax, email and mail as needed to communicate scheduled appointments, insurance information, cancellations, etc.
  • Assists with other medical office needs, including registering patients and ensuring compliance procedures are met.
  • Assists with Client Care Specialist duties, providing relief for absences and vacancies.
  • Adheres to Company policies and procedures at all times.


NON-ESSENTIAL FUNCTIONS

Leads by example and exhibits solid teamwork while promoting the core philosophy of FYZICAL.

QUALIFICATIONS/SKILLS/EDUCATIONAL REQUIREMENTS

  • Proficient in use of computers, software, Microsoft Suite;
  • Detail-oriented with superior communication, multi-tasking, problem-solving and organizational skills;
  • Minimum one (1) year prior work experience delivering exemplary client service preferred.

EXPECTED WORK HOURS

Monday through Friday, 8.00am-5:00pm. Some night and weekend work may be required. Some offices have extended hours which can range from 6.00am-7.00pm or may be open on Saturday.

  • Communicate and converse, maintain a stationary position (standing and sitting), move/traverse, kneel and bend.
  • Use fingers and hands, handle, feel and reach with hands and arms for extended periods of time.
  • Occasionally required to climb or balance; stoop; kneel; crouch; taste or smell.
  • Specific vision abilities required by this job include close vision, distance vision, depth perception, peripheral vision and ability to adjust and focus.
  • Light to moderate lifting is required.
  • Ability to uphold the stress of traveling.
