Get Set Go Health & Wellness Company, LLC is a reputable therapy practice dedicated to providing compassionate and professional mental health services to our clients. We are currently seeking a highly organized and empathetic Office Manager to join our team. The Office Manager will play a crucial role in ensuring the smooth operation of our office, supporting our therapists, and providing a welcoming environment for our clients.

The Office Manager will be responsible for overseeing the day-to-day administrative and operational functions of our therapist office. This position involves a wide range of tasks that require excellent communication skills, strong organizational abilities, and a compassionate approach to supporting clients and staff. The ideal candidate should have a passion for our mission and a desire to contribute to the success of the organization.

PRIMARY RESPONSIBILITIES INCLUDE BUT NOT LIMITED TO:

· Manage electronic and physical client records, ensuring confidentiality and compliance with privacy regulations.

· Supervise staff

· Answer and direct phone calls and emails, ensuring timely and professional communication.

· Assist in scheduling appointments, meetings, and events.

· Maintain and update the organization's physical and digital filing systems.

· Oversee the overall office organization, including ordering supplies, managing equipment, and ensuring office cleanliness.

· Ensure the office is well-organized and maintained, including ordering supplies, managing equipment, and overseeing office cleanliness.

· Coordinate with partners for office-related services.

· Assist with the development and maintenance of office policies and procedures.

· Assist in the recruitment and onboarding of new employees and volunteers.

· Maintain employee records and support HR-related functions as needed.

· Manage time and attendance records and leave requests.

· Assist in basic financial tasks such as invoicing, and record-keeping.

· Assist in planning and coordinating organization events, meetings, and training sessions.

· Prepare meeting agendas, take minutes, and distribute relevant materials.

· Work directly with Executive Director.

· All other duties as assigned.

QUALIFICATIONS:

· A high school diploma or equivalent is required; additional education in business administration or a related field is preferred.

· Proven experience in office management, administrative support, or a related role in a healthcare or therapy setting.

· Excellent interpersonal and communication skills, with an empathetic and client-focused approach.

· Strong organizational and multitasking abilities.

· Attention to detail and a high level of accuracy in handling confidential information.

· Proficiency in MS Office (Word, Excel, Outlook) and relevant software applications.

· Familiarity with insurance billing and documentation requirements in a healthcare setting.

· A commitment to maintaining a compassionate and welcoming atmosphere for clients and staff.

PREFERRED QUALIFICATIONS:

· Experience with working with a non-profit organization.

· Experience with working with substance abuse programs.

· Team-oriented, flexible, enthusiastic, creative, and dedicated to the formation and philosophy of the development of youth.

· Ability to establish and maintain personal and programmatic boundaries while providing supportive services.

· Strong interpersonal skills and the ability to relate to individuals who may not share basic commonality, including value systems and behavior norms.

· Experience in working with culturally diverse communities and families, with the ability to be culturally sensitive and appropriate.

· Demonstrate good writing and organizational skills as well as strong verbal and written communication skills.

· Able to manage company’s social media.

· Must be at least 18 years of age and be a US citizen or lawful permanent resident.

· A valid state driver's license, a satisfactory driving record, and reliable transportation.

Applicant must be willing to undergo a criminal history background check. The applicant must be self-motivated and accountable. He or she will have proven initiative and will have utilized innovative approaches. The ideal candidate will be flexible with the ability to work independently and as part of a team, and will be able to work successfully under pressure and meet deadlines.
