As a Sales Coordinator you will be an important contributor to a Fragrance Ingredients Business (FIB) regional sales team providing im-portant support and developing an intimate understanding of Givaudan FIB customers, portfolios and processes. You will also build pro-fessional relationships with both our teams and with account contacts. Your Location: East Hanover, NJ

Reporting to: Senior Account Executive

Main Responsibilities:

Administrative Support:

  • Provide administrative support to FIB NOAM Sales team on an international and national level, ensuring efficient operations of the team according to our policies and local requirements.
  • Support FIB sales team with administrative work
  • Participate in the pricing process for Sales Managers’ negotiations (preparation, implementation, verification of price lists), en-suring deadlines are respected
  • Complete negotiation files for Sales Managers with data required for negotiations
  • Complete customer RFQs with data requested by customers
  • Creation of several sales reports needed for our sales tools
  • Ensure accurate information is updated in SAP

Communication:

  • Communicate to internal and external inquiries using systems knowledge, investigation / research, innovative follow up and problem solving techniques.
  • Provide the business team with timely information on clients’ requests, insights, and communications.
  • Respond precisely and in a timely manner to customer requests (sampling, regulatory documents, technical product details etc).
  • Communicate with clarity on product updates to customers as and when information is shared internally.

Account Coordination:

  • Be an interdepartmental coordination specialist (liaison with Marketing, Customer Service, Operations, Distribution, Planning, and QC,).
  • Maintain shipment tracking system for samples. Managing office supplies inventory and availability and ordering needed office supplies.
  • Coordinate schedules, travel, and communications, and any other administrative tasks.

Required Skills and background:

  • Bachelor's degree or equivalent years of experience
  • At least 2 or more years’ experience in sales administration or in a customer-facing environment
  • Collaborative and team spirit
  • MS Office suite, Google Mail and SAP knowledge
  • Demonstrate ability to produce and work with complex Excel workbooks (functions, pivot tables)
