What are the responsibilities and job description for the Operations Coordinator - Hanging Sign position at Global Experience Specialists, Inc?
The Operation Coordinator position for the Hanging Sign/Rigging Department will assist in the pre-planning of hanging sign / rigging needs on the assigned shows. The coordinator will be working with exhibitors and striving to reach our goal of 70%of hanging sign information on every show, so that we can execute the services on-site and install as many hanging signs required for the show prior to the exhibitor's arrival. Once on site the team, the coordinator will be responsible for processing the data entry, advise Exhibitor Services when all the entry is complete, prepare any tickets needed for the outbound. In some instances, working at the service desk may be requested to be available for exhibitors on site (larger-scale shows).
Responsibilities:
- Proactively contact exhibitors to assist in understanding how to place a hanging sign order.
- Follow-up contact with exhibitors to clarify orders.
- Process hanging sign orders and generating hard card packets for operations team on-site.
- Review and audit hanging sign orders against floor plans ensuring their accuracy.
- Track and log the exhibitor hanging sign information.
- Sharing of information through SharePoint when prepping orders for other cities.
- Communication through teams with city operation teams.
- Organize hanging sign orders to ensure correct dispatching at show site.
- Preparing the paperwork to be shipped in a timely manner to the cities.
- Service exhibitors that come up to the desk at show site with any new order, changes to orders, and service opportunities.
- Data entry and audit of hanging sign / rigging labor produced at show site
- Prioritize tasks & responsibilities to meet deadlines and complete highest priorities first.
- Keep managers and Team Managers up to date on all issues.
- Perform all duties with the utmost integrity avoiding any conflict of interest between GES and any other entities.
- Perform other duties as assigned by management
Qualifications:
- High School Diploma
- Demonstrate leadership ability
- Must be proficient in MS Office program
- Must be able to work in a fast-paced environment and meet deadlines with little supervision
- Must have excellent communication skills, be a team player, and self-starter with an understanding of team goals.
