What are the responsibilities and job description for the Administrative Assistant position at Gogebic County Employees’ Retirement System?
Provides administrative support to the Gogebic County Employees’ Retirement System under supervision of the County Treasurer/Retirement Director.
1. Answer inquiries from active employees, retirees, and beneficiaries regarding retirement benefits, pension plans, and eligibility.
2. Prepare retirement estimates, pension calculations, and account status updates.
3. Processes payroll timely and accurately.
4. Maintain and organize member files, ensuring all personal, employment, and pension-related information is accurate and up to date.
5. Process incoming forms and paperwork (e.g., retirement applications, beneficiary designations, payroll information).
6. Collaborate with agency payroll offices, external vendors, actuaries, or consultants to ensure the proper reporting of pension benefits.
7. Maintain census data for eligible members.
8. Prepare vouchers, track payments and contributions and follow up on outstanding balances.
9. Track and follow up on outstanding non-refunded contribution accounts to ensure accuracy and compliance.
10. Maintain records for members entering deferred status, ensure final pay information is accurate, and update pension statements and related documents.
11. Verify with the Social Security Administration that retirees are correctly listed on the retirement payroll and ensure no discrepancies in status.
12. Schedule meetings, prepare agendas, take minutes, and document proceedings for Retirement Commission, Retiree Health meetings, and other related boards (e.g., Brownfield Redevelopment Authority/Land Bank Authority).
13. Request and record the annual income of active employees from each agency. Annualize wages for employees who did not work the full year and ensure accurate data for actuarial calculations and billing.
14. Prepare annual DROP statements to participants and notify retirees of any health benefit changes.
15. Bill agencies for annual employer pension contributions based on employee income and actuarial-determined percentages.
16. Assist with annual audits by providing documentation or reports as requested by auditors.
