Purpose of the Position
The Environmental Administrative Assistant reports to the Environmental Director and will provide administrative and program assistance to the Environmental Department. The incumbent will perform specific objectives and specific grant work plan activities as directed in compliance with environmental programs administered by the Habematolel Pomo of Upper Lake tribe.
Essential Duties and Key Responsibilities
- Administrative Support: Provide administrative support for the Environmental Department, including writing memos, correspondence, and grant reports. Verify timecards, input project hours, coordinate staff meetings, and communicate effectively with technicians, the director, and various members of the HPUL staff.
- Grant Administration: Assist the Environmental Director with grant administration, including tracking deliverables, managing budgets, and ensuring compliance with reporting procedures. Maintain grants by scheduling activities, reviewing contracts and reports, submitting invoices and purchase requisitions, contracting vendors, and assisting in establishing work plans for new grants.
- Budget Monitoring: Assist in monitoring program budgets by tracking all purchases, organizing receipts, and verifying amounts.
- Outreach Material Development: Assist in the development of environmental outreach materials, maintain records, and create related flyers. Coordinate, attend, and potentially oversee field outreach events.
- Database Maintenance: Regularly maintain various databases relevant to the Environmental Department, coordinating with the Director and other department staff.
- Training: Conduct in-house training sessions on digital applications and new department protocols established by HPUL Administration or the HPUL Environmental Department. Assist in training new employees.
- Supply Management: Order supplies from various vendors, track shipments, and input purchase information.
- Collaboration: Work with tribal consultants, grant managers from various organizations, and the Tribal Emergency Response Commission (TERC) on various activities and tasks.
- Professional Development: Participate in relevant trainings, workshops, conferences, or local meetings to enhance program knowledge when applicable.
- Cultural Sensitivity: Demonstrate sensitivity to Tribal history, lifestyle, and culture.
- Attendance: Maintain regular and reliable attendance during normal business hours.

Education and Experience
Required:
- High school diploma, general education degree (GED), or a minimum of 3 years of work experience in administrative support, in lieu of education.

Compensation: The hiring range for this position is from $18 to $27 per hour. The compensation offered for this position will fall within this range based on the candidates level of skills, experience, and education.
