What are the responsibilities and job description for the Administrative Assistant position at Health Connect America?

What would I be doing?

  • Greet visitors
  • Answer incoming phone calls
  • Return or forward calls as necessary
  • Maintain visitor’s sign in/out sheet
  • Check consumers in upon arrival and notify staff of their arrival
  • Show consumers in to see the doctor and check them out at conclusion of appointment
  • Occasionally interpret for doctor appointments – if bilingual
  • Open facility each morning
  • Lock doors at close of each business day
  • Maintain appointment reminder call system
  • Process credit card and cash payments
  • Communicate with manager regarding building and maintenance issues
  • Distribute keys to the office and keep an office key log to be forwarded to HR
  • Stock office and restroom supplies
  • Process referrals
  • Upload intake and other documents
  • Respond to emails
  • Attend to waiting room as necessary
  • Mail letters
  • Schedule follow-up appointments, give school/work excuses to clients/guardians, have guardians sign other paperwork as necessary
  • Communicate with other HCA/GH staff members regarding clients as necessary
  • Answers requests for scheduling or changing client appointments.
  • Reviews no show appointments and contacts clients, when appropriate, to reschedule. 
  • Works with Telehealth locations regarding schedule availability.
  • Maintains/distributes provider availability calendar for all MD’s/NP’s/LCSW’s.
  • Reviews schedule for maximum utilization and adds appointments, when appropriate, where gaps may exist.
  • Facilitates Hospital Discharge appointments.
  • Communicates with staff regarding details around Hospital Discharges. (i.e. d/c date, facility d/c from, etc.)

Qualifications for this position include:

  • High school diploma
  • Experience using Excel, Word and Outlook
  • Capability to operate standard office machines and computer equipment and applications.
  • Knowledge of good English grammar and usage
  • Ability to answer telephone calls or questions politely and efficiently
  • Ability to maintain simple clerical records
  • Good communication skills, i.e. ability to listen and ask pertinent questions to gain needed information
  • Computer skills adequate for operating telehealth equipment and other admin related tasks
  • Contribute to Health Connect America and Georgia HOPE's culture of safety and inclusion by demonstrating a commitment to learning how to engage with issues of diversity, equity, and inclusion.
