What are the responsibilities and job description for the Medical Office Secretary position at Health Partners Management Group?

WHO IS HPMG? Health Partners Management Group (HPMG) is a government contracting company in Poplar Bluff, Missouri. HPMG currently has a contract with the Federal Government for Medical Office Secretary positions at Walter Reed NMMC. You would be a W-2 employee for HPMG and NOT a government employee.

SUMMARY: Performs various clerical and administrative duties in support of the organization, including, but not limited to, stenography and office automation duties such as word processing, briefing charts, and spreadsheets.

MANDATORY KNOWLEDGE AND SKILLS:

  • Fully qualified typist with a minimum of 50 WPM is required.
  • Shall have experience with computers.
  • Shall have experience and efficiency in word processing and data entry.
  • Shall have experience in interpreting medical terminology, anatomy and physiology, pharmacology, disease processes and treatment modalities to the extent necessary for successful completion of performance requirements.
  • Shall have the ability to understand, analyze, and interpret medical information.
  • Shall have experience in data collection techniques and medical data collection codes.
  • Shall have experience in verifying data and correcting errors.
  • Shall have experience in working with patient medical records.
  • Shall have experience in gathering data, compiling information and preparing reports.
  • Shall be able to read, write, speak and understand English well enough to effectively communicate with customers.
  • Shall be knowledgeable of equipment and supply terminology and skill sufficient to identify and use necessary equipment and supplies properly.
  • General medical ethics, telephone etiquette, excellent communications and customer service skills.

EDUCATION: High School diploma or General Educational Development (GED) equivalency.

EXPERIENCE: Must have one year of professional experience as a Medical Office Secretary.

WORK ENVIRONMENT/PHYSICAL REQUIREMENTS: The work is primarily sedentary. However, there may be some physical demands. Requirements include prolonged walking, standing, sitting, or bending.

UNIQUE MILITARY HEALTH CARE SYSTEMS/PROCEDURES:

  • Medical Health System (MHS Genesis) access
  • Advanced supervisor keys for MHS Genesis
  • Managed Care Support Contractor (MCSC)
  • Defense Enrollment Eligibility Reporting System (DEERS)
  • Defense Medical Human Resources System-internet (DMHRSi)

PERFORMANCE OUTCOMES:

  • Draft, edit and complete a wide variety of documents including, but not limited to general correspondence, reports, minutes, evaluation reports and executive summaries.
  • Review all outgoing documents for grammatical errors.
  • Receive and manage telephone communications from patients, health care providers and inquiring parties in a courteous and competent manner.
  • Coordinate internal office functions, including routing mail, organize and maintain files and maintaining various logbooks.
  • Compile, maintain, prepare, and submit required administrative and statistical reports to the department.
  • Front desk coverage including- receive and greet visitors, schedule appointments, utilizing computer system walk-in clinic patients.
  • Maintain well database for Pediatric Primary Care patients.
  • Invite patients to MHS Genesis Patient Portal (Online e-mail system for patients)
  • Review MHS Genesis Patient Portal messaging in all the team boxes and respond within 24 hours.
  • Send a completed school form via MHS Genesis Patient Portal.
  • Send appointment reminders via MHS Genesis Patient Portal.
  • Enter all phone messages in MHS Genesis Patient Portal.
  • Create and prepare metabolic screening packets for two-week patients.
  • Create and prepare ASQ-3 (Ages and stages questionnaires) for all well visits.
  • Create and prepare M-CHAT (the modified checklist for autism in toddlers) and SWYC (Survey of Well-being of Young Children) for all well visits for screening for Autism and developmental development per provider request.
  • Obtain and deliver faxes for over 200 providers daily. (Send Faxes via MHS Genesis Patient Portal)
  • Fax information to other providers/places daily.
  • Scan and send information to providers.
  • Maintain and order administrative supplies for two Pediatric front desks.
  • Maintain wait-list book for future appointments and calls patients at home when appointments available.
  • Maintain and file patient pick up folder daily.
  • Maintain and answer the Hill-Rom patient call system.
  • Maintain and distribute states school forms/Child Development Center (CDC)/Women, Infant and Children (WIC)/Medication administration forms.
  • Complete Past due arrivals daily in MHS Genesis (over 50 a day).
  • Screen all patients for third party collections.
  • Book appointment for all walk-in patients and follow-up appointments.
  • Check patients in from MHS Genesis for over 100 patients daily.
  • Answer incoming phone calls and direct callers/visitors as appropriate.
  • Schedule follow up appointments in automated system and notify patients of appointment date and time.
  • Provide backup telephone answering and appointment scheduling support for Adolescent clinic, Pediatric Hematology Clinic and Pediatric Specialty clinic.
  • Provide Hand washing surveys cards monthly to patients checking in. (Direct them to ICE survey to complete)
  • Monitor Pediatric patient wait times.
  • Greet, direct, and assist approximately 125 patients daily.
  • Support and assist military and civilian staff daily.
  • Provide administrative support to all Pediatric Medical Homes Teams.
  • Monitor and compile check-out in MHS Genesis all visits for all teams.
  • Enter schedules for over 50 guest providers.
  • Complete schedule changes for over 50 residents, guest, and staff providers on the medical home team.
  • Pull data daily from Care Point/SharePoint, not limited to Emergency room follow-ups, well baby list, and any list as per Team leader on Team.
  • Complete Team minutes and post and update Team bulletin board as requested.
  • Scan and input patient information from internal and external provider into MHS Genesis as directed by providers.
  • Template Manager for PCMH team, which includes, daily scrubbing of schedules, adding and deleting schedules per Chief Resident and Team leader and Service Chief.
  • Maintains schedule in MHS Genesis out 180 days per MHS guidelines.
  • Ensure VTR appointments scheduled correctly in MHS Genesis per clinic guidelines.
  • Call all no show 2-week patients /schedule new appointments in the PCMH.
  • Call all no-show patient and reschedule appointments in the PCMH.
  • Answer all MHS Genesis request sent from IRMAC regarding appointment request.
  • Reply to all providers via outlook regarding schedule changes.
  • Participate in meetings to review and evaluate the care provided to patients, identify opportunities to improve the care delivered, and recommend corrective action when problems exist.
  • Participate in clinical staff quality assurance functions and clinic Performance Improvement/Risk Management Programs as prescribed by the Commander.
  • Attend command orientation. Orientations include initial training requirements (e.g., fire, safety, infection control, and family advocacy) and information systems orientation (including MHS Genesis). The Government reserves the right to adjust orientation schedules to meet mission and workload requirements.
  • Clinic orientation for the health care worker shall take place during regularly scheduled shifts immediately following the commencement of services.
  • Annual renewal of command directed training requirements including but not limited to: customer relations, disaster preparedness training, sexual harassment, family advocacy, and infection control and blood borne pathogens.
  • Perform necessary administrative duties that include maintaining statistical records of the HCW's workload, operate and manipulate automated systems such as MHS Genesis, participating in clinical staff Performance. Improvement (PI) and Risk Management (RM) functions as prescribed by the commander.
  • Perform administrative duties as directed by supervisor(s) including but not limited to reproducing medical or educational materials, assisting with mailings and phone reminders, preparing documents, and other support functions.
  • Maintain patient logs, and unit records and provider mailboxes.
