Position Overview
Heartland Fleet Services is seeking an experienced and customer-focused Heavy Duty Service Writer to join our team. The Service Writer serves as the primary liaison between customers and the service department, ensuring that all repair and maintenance needs are properly documented, scheduled, and communicated. This role requires strong organizational skills, technical understanding of heavy-duty trucks and equipment, and the ability to deliver excellent customer service in a fast-paced environment.
Key Responsibilities
- Greet customers and gather information on vehicle concerns, symptoms, and service needs
- Accurately create, document, and update work orders in the shop management software application
- Work closely with parts vendors to confirm availability and order required components
- Create estimates and obtain customer authorizations for proposed work
- Communicate repair timelines and service updates to customers in a timely and professional manner
- Coordinate scheduling of both mobile and shop jobs with technicians and ensure proper workflow
- Review completed work orders for accuracy and completeness before invoicing the customers
- Advise customers on recommended maintenance and additional service opportunities
- Maintain records of all customer interactions and service transactions
- Ensure a high level of customer satisfaction through consistent communication and follow-up
Qualifications
- Previous experience (3 years) as a Service Writer, Service Advisor, or in a similar role (heavy-duty/trucking industry preferred).
- Knowledge of diesel engines, heavy-duty trucks, trailers, or equipment
- Strong computer skills and familiarity with shop management software applications
- Excellent communication, organizational, and critical thinking skills
- Ability to manage multiple priorities in a high-volume environment with both mobile and shop repairs
- High school diploma or equivalent required; technical or vocational training a plus
- Valid driver’s license

Job Type: Full-time
Pay: $49,047.93 - $59,068.47 per year
