Surgical Oncology Scheduler

JOB TITLE: Surgical Oncology Scheduler

REPORTS TO: Director of Surgical Oncology

LOCATION: Surgery Department – PW5

FLSA: Non-Exempt

I. General Purpose:
a. Coordinate and schedule surgeries and procedures for assigned physicians (assignments made upon hire and subject to change). Prioritize cancer or ‘cancer until proven otherwise’ along with internal referrals.

II. Education/Experience (including but not limited to the following):
a. High School Diploma
b. Prefer experience in medical intake/scheduling, surgery or oncology a plus
c. Proficient in use of EMR (electronic medical record)
d. When acting as an interpreter, must be proficient in speaking and understanding both spoken English and Spanish, including any necessary specialized vocabulary, medical terminology, and phraseology, and ability to communicate effectively, accurately, and impartially with individuals with limited English proficiency.

III. Job Duties and Responsibilities (including but not limited to the following):
a. GENERAL:
i. Coordinate and schedule surgeries and procedures for assigned physicians
(assignments made upon hire and subject to change).
ii. Prioritize cancer or ‘cancer until proven otherwise’ along with internal referrals.
iii. Surgery scheduling:

1. Complete hospital forms and fax required records.
2. Ensures orders are entered into hospital EMR as needed.
3. Schedule preop testing.
4. Schedule surgery with hospitals.
5. Schedule procedures with hospitals or collaborative clinics.
6. Schedule post-op visit as needed.
iv. Coordinate with other offices when surgeon needs to assist or is performing a shared case.
v. Work collaboratively with the Business Office regarding patient benefits and co-pays.
vi. Provide detailed information with patients, ensuring patients understand surgery and instructions, such as surgery/procedure prep. vii. Collect surgery co-pays.
viii. Answer phone calls regarding surgeries from hospitals and patients.
x. Maintain multiple calendars for surgeons as required.

x. Data collection – track referral sources, surgery types, patient cancellations and/or reschedules.
xi. Ensure that discharge summaries and op notes are dictated within 24 hours at each hospital and signed off prior to patient surgery follow up appointment, as needed.
xii. Establish and maintain effective working relationships with patients’ families, medical staff both inside and outside the clinic, and the public.
xiii. Create and maintain orders, preps, and pre/post op instructions. xiv. Provides and maintains patient confidentiality.

IV. Additional skills and responsibilities for job performance:
a. GENERAL EXPECTATIONS:
i. Must be proficient in basic computer skills and utilization of MS Office Suite
ii. Attend required meetings and participate in a constructive manner.
iii. Participate in professional development activities and maintain professional affiliation.
iv. Maintain patient confidentiality according to HIPAA rules and regulations.
v. Establish and maintain effective working relationships with physicians, patients, medical staff, and the public.
b. LANGUAGE SKILLS:
i. Ability to read and interpret documents such as referral records.
ii. Ability to write reports and correspondence. iii. Ability to effectively present information and respond to questions from patients, caregivers, physicians, and staff.
c. MATHEMATICAL SKILLS:
i. Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
d. REASONING ABILITY:
i. Ability to problem solve and clarify necessary steps of logic and reasoning in a professional manner. Intellectual acuity is a necessary qualification.
ii. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
PHYSICAL DEMANDS:

ii. The role of a Surgery Oncology Scheduler requires using the telephone, computer and other related instruments or devices while communicating with patients, caregivers, physicians, and staff.
iii. While performing the duties of a Surgery Oncology Scheduler at Highlands
Oncology, specific vision and hearing abilities required by this job include both vision and hearing acuity.
iv. Employee will sit for several hours each day but will also need mobility and ability to stand and walk for periods of time.
v. Employee may need to lift up to 10 pounds on occasion. May require working under stressful conditions due to deadlines and time constraints.

V. Resignation notification:
a. Must provide a 4-week resignation notice in writing to immediate supervisor.
