ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES: The essential job functions and responsibilities for this position include, but are not limited to: Processing purchase requisitions; Issuing and distributing purchase orders; Reviewing and approving supplier applications; Updating/adding new supplier information in database, including W9 forms, and banking information; Assisting with monitoring credit card activity and ensuring compliance to rules and procedures; Preparing inventory disposal reports for board approval; Coordinating the disposal of surplus property; Assigning tag numbers to newly acquired assets; Physically tagging assets once received; Recording of acquisition, transfers, and dispositions in the accounting system using accurate forms, account numbers and classification codes; Answering telephone inquiries pertaining to purchasing and inventory of assets; Responsible for reconciling depreciation monthly and yearly; Interacting with faculty, staff and administrators at all levels; and Assisting in training in all other areas of Purchasing and Receiving. as needed. SPECIFIC DUTIES AND RESPONSIBILITIES: The specific duties and responsibilities for this position include, but are not limited to: Assisting with Receiving area ensuring accuracy of receipts in Workday; Conducting annual inventory and unannounced audits of inventory at all campus locations; Completing inventory processes in Workday; Affixing barcode(s) to inventory item(s) once received, issued and assigned; Tracking inventory and their location and reconciling for any discrepancies in Workday; Monitoring relocation and disposal of assets and completing necessary processes; Assisting in preparing capital asset depreciation schedules; Completing monthly reconciliation of the inventory to the general ledger; Preparing monthly and year-end inventory reports for the Finance Division; Assisting with audit inquiries and requests related to purchasing and inventory of assets; Assisting in monitoring expense credit card activity and enforcing rules and guidelines; Assisting in following up with unreconciled expense card transactions; Assisting in conducting training on expense cards and general purchasing procedures; Maintaining supplier files to include updating W9 forms, TIN matching with IRS records and assisting with annual 1099 report; Obtaining quotes for requisitions as needed; Processing orders and requisitions; Assisting with Accounts Payable to research issues for processing invoices for payment; Answering purchasing and inventory related inquiries; Assisting Director of Procurement with follow up of expense reports related to expense card purchases; Assisting in other areas of Purchasing and Receiving; Completing all other duties assigned by the Director of Procurement. PHYSICAL REQUIREMENTS: This position requires an ability to sit, stand, walk, bend, lift, reach up, stoop, and carry items occasionally in excess of twenty-five (25) pounds. It also requires manual dexterity to operate standard office machines, such as, copier, fax, calculator, telephone, and other equipment as necessary.
