Role Overview
We are seeking a qualified Front Desk Data Entry and Administrative Support Specialist to provide administrative and customer service support for a Transition Assistance Program office in Minot, North Dakota. This role requires a high level of professionalism, accuracy, and reliability while working with sensitive information and the general public.

Essential Duties and Responsibilities
Front Desk and Customer Interaction
- Greet visitors and answer incoming telephone calls in a professional and courteous manner
- Identify the nature of inquiries and direct customers to the appropriate staff or office
- Provide non technical information such as office procedures, appointment status, and general program information
- Maintain a professional public facing presence at all times
Data Entry and Records Management
- Accurately enter, update, and maintain customer data in government databases
- Ensure required forms and Statements of Understanding are completed and properly recorded
- Establish, maintain, purge, and dispose of records in accordance with federal records management requirements
- Serve as the primary records custodian for the office
Administrative Support
- Prepare, review, and proofread correspondence, reports, and administrative documents
- Maintain calendars, schedule appointments, and track suspense dates
- Prepare and consolidate time and attendance records
- Requisition office supplies and maintain administrative trackers
Office Automation and Systems Use
- Use Microsoft Word to draft and format correspondence and reports
- Use Microsoft Excel to enter, track, and retrieve data
- Use Microsoft Outlook for email, scheduling, and calendar management
- Use database systems to input and retrieve information
- Perform basic troubleshooting of office software issues
Required Qualifications
To be considered qualified, candidates must meet all of the following:
- Demonstrated experience performing administrative and clerical duties in an office environment
- Demonstrated experience providing front desk or customer service support
- Proficiency in Microsoft Word, Excel, Outlook, and basic database systems
- Strong written communication skills, including correct grammar, spelling, punctuation, and formatting
- Strong verbal communication skills and ability to interact professionally with the public
- Ability to accurately enter and manage data with a high level of attention to detail
- Ability to organize files, records, and administrative materials in accordance with established procedures
- Ability to follow written policies, desk guides, and standard operating procedures
- Ability to handle sensitive information with discretion and professionalism
- Ability to work independently with minimal supervision
- Ability to pass a background check and obtain required access credentials
- Availability to work onsite in Minot, North Dakota during standard business hours
Preferred Qualifications
- Prior experience supporting a government, military, or federal contractor office
- Familiarity with records management practices
- Experience with scheduling, suspense tracking, or administrative reporting
- Familiarity with government or military terminology
