The Academic Program Assistant position is needed to assist with support in medical education for Neurology residency and fellowship. Duties will include organizing information from multiple sources, disseminating documents to appropriate contacts, scheduling interviews/meetings, creating and distributing Zoom / Microsoft Teams links, maintaining professional correspondence in a timely and organized manner, following up with task completion, tracking application updates and data entry.

Specific duties include, but are not limited to:
Providing administrative support to the Department Chair with Grand Round responsibilities, including scheduling and CME paperwork; Providing administrative support to the Fellowship and Residency Program Directors and Coordinators, including:
- Attending GMEC meetings and taking minutes
- Maintaining online database of educational didactic lectures
- Preparing fellowship didactics schedules and sending zoom links
- Preparing alumni lists
- Gathering and tracking documentation for accreditation purposes
- Assisting with recruitment and onboarding duties, including maintaining databases and routine communication
- Coordinates and tracks production and dissemination of academic/educational documents (Certificates, diplomas, license, verifications)
- Maintains communications with various applications and matching services (ERAS, NRMP, SF Match)
Overall, the successful candidate will have ability to work well with different groups, including program directors, faculty, fellows and staff. The ideal candidate will have strong organizational capabilities, problem-solving skills, and a demonstrated ability to work independently while managing multiple projects. Prior experience in a medical education is preferred. PC proficiency required, Microsoft office, Word, Excel Adobe Acrobat. Experience with graphics, designing fliers and brochures a plus.
Hourly range
The hourly rate range for this position is $26.19 - $30.08. Minimum Education: Bachelor's degree. Combined experience/education as substitute for minimum education. Minimum Experience: 0-6 months Minimum Field of Expertise: Excellent interpersonal, oral, and written communication skills for interacting with both domestic and international stakeholders. Demonstrated attention to detail. Proven ability to plan, implement, and coordinate program logistics. Demonstrated database/data entry experience. Proven project management and problem solving skills, able to handle multiple timelines, changing priorities, and fluctuating workloads.
