Growing law firm in Pasadena is seeking an entry level receptionist/administrative assistant. Primary duties will be as a receptionist, including handling the reception area and answering the phone. This position will also assist the file clerk, and be able to cover for administrative assistants as may be necessary. We are looking for someone who is committed to excellence with a strong work ethic. As the firm expands, there is opportunity for growth based on performance and abilities.
Responsibilities include, but are not limited to, the following:
- Make copies, and manage faxes
- Check daily incoming documentation and scan accordingly
- Sort all documents alphabetically and according to content, dates, significance etc.
- Update files and indexes
- Store all paperwork in designated places securing the important documents
- Enter paperwork into an electronic system by data entry & by using optical scanners
- Maintain efficient filing system to make updating and retrieving files easier
- Follow policies and confidentiality dictations to safeguard data and information
- Monitor workroom/office supplies
- Keeping front office and break room tidy, presentable, and ready for the day
- Answer phones and operate switchboard
- Route calls to specific people
- Greet, welcome guests and offer refreshments
- Receive mail, packages, and other documents and distribute
Qualification/Requirements:
- Punctual, dependable, and diligent. Excellent attendance is a must.
- Proficient in English (oral and written)
- Computer skills: Word, Excel, Microsoft, Worldox, and others.
- Must be good at organizational and multi-tasking abilities
- Problem-solving skills
- Strong communication skills for both in person and telephone communications.
- Excellent interpersonal skills and ability to exercise calendar management.
- Candidate must be well organized, professional, courteous, and reliable.
- Detail orientated and fast learner.
- Ability to multi task.
- Self-starter, punctual and reliable.
- Dependable with a respect to confidentiality and policies
- Business professional attire.
- High school degree or equivalent.
This position is full-time Monday through Friday, 8:00 a.m. - 5:00 p.m.
