General Position Summary

Responsible for directing all Sheriff's Office non-emergency incoming phone calls and contact from citizens at the reception counter and performs clerical duties in the Civil Division of the Sheriff’s Office.

Essential Functions

The following may not be all inclusive and other duties may be assigned.

Receives all incoming phone calls; routes to the correct division or person; takes messages or answers inquiries, if applicable; takes citizen complaints by phone or in person at the receptionist counter; uses the 911 computer-aided dispatch interface and Sheriff's office record system to complete reports.

Effective operations inquiry and entry of the Law Enforcement Data System (LEDS); general law enforcement date entry as directed.

Prepares police reports. Transcribes, Proofreads and checks reports for completeness and compliance with IBR standards.

Schedules appointments and processes concealed handgun applications, including fingerprinting, background checks, data entry and issuance of license.

Schedules appointments for citizens requesting fingerprints; processes fingerprints.

In accordance with established procedures and Federal, State, and Local laws, prepares civil documents for service by Civil Deputies; prepares return of service for court after service by Patrol Deputies; mails and distributes originals and copies pursuant to law and office policy.

Receives and posts monies for civil processing fees and Sheriff's fees. Enters civil process for delivery.

Assist in preparing required documents for and execution of judicial sales. Record and track income and expenditures of each case.

Assists in filing and indexing materials and processes public records requests.

Issues receipts and records monies received for Sheriff’s civil fees; responsible for weekly deposit of fees to Finance and maintaining accurate balances.

May assist and be responsible for other duties, and special projects as assigned by the Chief Administrative Manager or Command Staff including serving civil papers.

Supervisory Responsibilities

This position has no supervisory responsibilities.

Qualifications

Education, Certification, & Experience

High school or GED certificate and two years’ experience in general office work; typing speed of 50 WPM, extensive experience answering multi-line phones desirable. Criminal Justice experience and knowledge of State laws governing civil processes and procedures desirable.

Valid Driver's License

Ability to be certified as LEDS operator.

Ability to obtain Notary.

Knowledge, Skills & Abilities

Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills

Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's.  Ability to perform these operations using units of American money and weight measurement, volume, and distance.

Reasoning Ability

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills

To perform this job successfully, an individual should have knowledge of Internet software and Word Processing software.

Work Schedule

This is an hourly, non-exempt position with a starting wage range of $17.93 - $19.40 per hour depending on experience. 

The normal work schedule is 40 hours per week; exact schedules are assigned by management.  It is the attendance standards of the employer that all employees be present and on time each shift they are scheduled to work.  Full or partial absence during any scheduled shift, arriving late, or leaving early, for whatever reason, may result in disciplinary action up to and including termination of employment.  Time off may be approved if allowed by applicable policies covering illness, injury, or other personal emergency.
