Summary
The Executive Assistant is responsible for providing executive level administrative support to the President/CEO as well as providing administrative support to the Board of Directors. Non-exempt.
Essential Functions
Be able to handle a wide variety of situations and conflicts involving administrative functions; must be highly organized, detail-oriented and able to manage time wisely. Executive assistant must sign an agency Confidentiality Agreement and be able to work with confidential information.
Administration
- Assists the President/CEO in reviewing the content of all short and long-range plans and in presenting these plans to the Executive/Governance Committee and the Board of Directors.
- Provides administrative support to the Board of Directors, including arranging board meetings, lunches and recording minutes.
- Organizes board materials, correspondence, and meetings. Composes correspondence, often involving complex and non-routine matters.
- Documents commitments made by President/CEO during meetings and facilitates staff implementation.
- Documents CEO Monthly report to Board
- Arranges CEO representation at meetings or conferences.
- May establish appointment priorities or reschedule appointments or invitations.
- Summarizes content of incoming materials and specially gathered data and briefs supervisor regarding important issues or conflicts.
- Represents President/CEO through telephone and personal contacts.
- Assesses the urgency and importance of situations and takes appropriate action.
- Ensures in the CEO's absence, that requests for action and information are furnished in a timely manner.
- May initiate contracts, secure appropriate signatures, and track contracts through the approval process at direction of CEO.
- Coordinates special projects and events at the direction of CEO.
- Makes travel arrangements for CEO for Conferences and out of town meetings.
- Gather information and completes submission of information for annual National Urban League Census.
- Enters and tracks Donor/Membership information in Little Green Light.
Program Assistance
- Establishes in cooperation with the President/CEO procedural guidelines for communication and marketing efforts to be followed by each Program Department (flyers, web postings, notices, etc.).
- Collaborates with other staff to ensure that programs are compliant with reporting requirements; assists with submittal of appropriate program reports.
- Assists with documentation of Urban League grants and proposals through the appropriate processes.
- Assists program areas when needed with events, classes, and projects.
Public Relations and Marketing
- Assists CEO and Program leaders with Social Media content and postings.
- Develops flyers, brochures and other promotional documents with direction of leadership team.
- Assists CEO with development of press releases and coordination of press at events and for interviews.
Qualifications
Minimum Qualifications:
- Must be proficient in Micro Soft Office applications including Office 365.
- Ability to type at least 50 words per minute.
- At least four years of clerical or administrative experience.
- An associate degree in office systems technology or similar discipline, Bachelor’s degree preferred.
Daily schedule of Work: 9:00AM to 5:00PM Monday-Friday. There are infrequent events that occur outside of regular business hours with required attendance. Employer observes state and federal holidays.
