Description
The Administrative position provides a wide variety of administrative support services for property supervisors and works with team members to achieve daily tasks. Responsibilities for this position include: customer service, data entry, and generating letters and reports. Time management skills and a diligent work ethic are required.
Position Responsibilities
- Generate letters. (Violation letters, general notices, memos, etc.)
- Update template letters and make required corrections/proofread.
- Run any weekly/monthly reports for properties as directed.
- Document uploads (insurance, leases, contracts, architectural modification docs, etc.).
- Update residential information (contact info changes, pet info, car info, etc.).
- Update directories for gate systems, websites, address book.
- Assist with vendor inquires.
- Provide reception coverage as needed.
- Send out communication to residents via phone and email.
- Photocopy and assemble mailings once approved by manager.
- Photocopies of documents as requested by manager.
- Sort and file all correspondence. Create new files for new properties and/or added titles as requested by manager.
- At the end of each year, transfer current files into banker boxes and create the next year’s files, unless otherwise indicated.
- Prepare and gather requested documents for audits and/or compilations for preparation of year-end financial reports by independent accountant.
- Work with supervisors and accounting to assist auditor with any additional requests as needed.
- Return documents to proper place when audit field work is complete.
Requirements
Job Requirements
- High school diploma or equivalent; additional education or relevant certifications are a plus.
- Proficiency in both English and Spanish (spoken and written) is essential.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent interpersonal and communication skills to engage with a diverse community.
- Computer proficiency, including Microsoft Office Suite and database management.
