CLUB Coordinator Position Purpose:
The purpose of this position is to administer, implement, and supervise comprehensive youth programs run by the Parks, Recreation, and Community Education Department. These programs include but are not limited to THE CLUB Afterschool Program, School Year Adventures Programs, and School Vacation Programs for ages 5 to 15. The CLUB Coordinator must be able to work harmoniously with program staff, participants, and the general public while effectively enforcing all facility regulations. This position is responsible for planning and implementing program activities and concepts within departmental programs while ensuring efficiency and effectiveness in all areas under their supervision.
Supervision:
Supervision Scope: The CLUB Coordinator works in conjunction with the Program Coordinators and exercises considerable initiative, creativity, and independent judgment in planning and running programs. They develop curriculum and programs with minimal supervision to ensure successful execution.
Supervision Received: The CLUB Coordinator operates under the direction of the Parks, Recreation, and Community Education Director, Assistant Director, and Program Coordinators. The employee functions independently within their assigned activity area, referring participant-related matters to a supervisor only when clarification or interpretation of department policies is required. This position is subject to review and evaluation per the town’s personnel policies.
Supervision Given: The position carries high supervisory responsibility for staff and children in program environments.
Job Environment:
Work is performed in typical recreation program conditions with moderate noise levels and frequent interruptions. Work locations include field trip sites, water-based locations, and various outdoor settings in all seasonal weather conditions, which may be uncomfortably hot or cold. The role involves periods of high stress due to program demands, emergency situations, or high-volume periods. Employment requires weekend and holiday availability.
Errors in judgment could result in personal injury to participants and staff. The CLUB Coordinator interacts frequently with town residents, department staff, volunteers, and other town departments. Communication occurs in person, by telephone, email, and written correspondence, involving an exchange of information.
Mistakes in judgment may lead to significant delays or loss of services, negative public relations, destruction of town-owned property, and potential legal consequences.
Essential Functions:

- Plans daily activities and special events for assigned programs, including developing program plans, staff schedules, field trip itineraries, and guidelines.
- Collects and submits all time sheets for CLUB and School Year Adventures programs to the Director of Parks, Recreation, and Community Education.
- Manages and supervises assigned program operations to achieve goals within available resources; assists with planning and organizing workloads for related programs.
- Motivates and evaluates children in programs where applicable; reviews participant progress with parents and facilitates adjustments when necessary.
- Performs administrative tasks related to programs, including managing attendance records, taking messages, completing program registrations, composing correspondence, and documenting incidents/accidents.
- Ensures effective and efficient use of budgeted funds, materials, facilities, and program time.
- Responds to public inquiries about programs and related events via telephone, email, messaging, and fax.
- Regularly operates a computer, telephones, and other standard office machines; must have knowledge or the ability to learn recreation software and applicable data systems.
- Operates a 12-passenger van to transport participants to and from field trips or during inclement weather.
- Performs other related duties as required, directed, or as the situation dictates.
- Maintains regular attendance and punctuality at the workplace.
- Performs other duties as assigned by supervisor(s).
Recommended Minimum Qualifications:
Education, Training, and Experience:
- Minimum of two (2) years of experience working with children in a classroom or recreation programming setting.
- Working knowledge of children's learning techniques.
- Must be at least 18 years old at the time of hire.
- Valid MA Driver’s License required.
- Must pass a driving background check and a CORI check.
- Must possess or be willing to obtain current First Aid/AED/CPR certification at the Professional Rescuer level.
Knowledge, Ability, and Skill:
Knowledge:
- General knowledge of the principles and practices of recreation and afterschool programming.
Ability:
- Ability to communicate effectively both verbally and in writing.
- Ability to interact tactfully, patiently, and appropriately with a variety of individuals, particularly children ages 8-13.
- Ability to delegate responsibilities to support staff and volunteers as needed.
- Ability to work effectively under time constraints and meet licensing requirements.
Skill:
- Strong skills in all listed essential functions.
- Excellent customer service skills and attention to detail.
