Executive Assistant to the President’s Office

Status: Full-Time, Exempt

Reports to: President

Summary

The Executive Assistant manages the day-to-day activities of the President’s Office. As a member of the President’s staff, this person represents the School when dealing with both internal and external constituencies. As keeper of the President’s Office schedules, they play an important part in researching and prioritizing the many obligations of the President. A strong commitment to discretion and confidentiality is needed, given the work and projects to which they will have exposure.

Duties And Responsibilities

  • Ensure that all activities of the President’s Office happen smoothly.
  • Maintain the President’s and Chief Operating Officer’s calendar, scheduling meetings with staff, faculty, students, and donors, and ensuring the President and COO are prepared for all meetings and events with necessary briefings, directions, research, and support.
  • Perform general organizational and administrative tasks in support of the President’s Office.
  • Plan and draft communications for the President’s Office.
  • Serve as the point of initial contact on any matter directed to the President’s Office and determine the appropriate course of action, referral or response by the President or senior staff: handle mail and correspondence.
  • Interface with Bard’s Office of the President.
  • Greet and host guests visiting the President’s Office.
  • Facilitate the work of the President with the Board of Governors and its committees, including drafting communications between the President’s Office and Governors, collaborating with Board members in preparation of materials, drafting agendas, taking minutes, and preparing and executing materials for Board meetings.
  • Work closely with the Development team to facilitate acknowledgement of major gifts and prepare the President for fundraising meetings.
  • Assist with school-related event management as assigned.
  • Plan, compile the agenda, participate in, and take note of action items for Senior Staff Meetings and Retreats.
  • Provide administrative assistance for interdepartmental meetings, preparing and compiling all necessary materials such as invites, agendas, and support documents in a timely manner.
  • Serve as primary contact for the Longy Student Association (LSA), and all student groups with the President’s Office, and work with Academic Affairs in arranging meetings with the LSA and the student body.
  • Manage portions of the President’s Office budget as directed, collect receipts, submit credit card reports, and appropriately allocate funds based on activities and costs.
  • Other duties as assigned.

Qualifications

  • Self-direction and the ability to think proactively, prioritizing and completing multiple complex tasks and projects both effectively and efficiently.
  • Excellent judgment and discretion, especially with respect to confidential information.
  • Outstanding written and verbal communication skills.
  • A positive, supportive attitude and a sense of humor, intellect and curiosity are essential characteristics of anyone in the President’s Office.
  • Strong ability to work collaboratively with other employees with a wide range of abilities and styles in a diverse community.
  • Superior organizational skills and keen attention to detail.
  • Occasional evening and weekend work required.
