About the role:
We currently have an opportunity for a Legal Administrative Assistant to join our team in East Brunswick, NJ. As the Legal Administrative Assistant, you will perform a wide variety of legal administrative and support duties for professional staff. The work performed will include a broad range of responsibilities involving legal and/or confidential information such as preparing and submitting routine filings, assisting with corporate housekeeping and affiliate reporting, preparing timesheets and expense reports, arranging for travel and assisting team members with calendars, schedules, conference calls and meeting preparation. You will have the opportunity to work with all levels of internal staff across multiple offices and will also require communication with outside vendors and law firms.
Responsibilities
What you will do:
- Completes a diverse and sometimes complex array of filings, adhering to multiple filing systems (including, but not limited to, hard copy filing, updating electronic databases and updating network folders)
- Reviews, organizes, and processes legal and vendor invoices; independently attempts to resolve billing issues and errors
- Prepares spreadsheets and initiates other tracking/escalation procedures for unpaid and/or disputed invoices
- Assists in the maintenance of spreadsheets, document logs and other electronic data repositories/lists/tracking procedures related to corporate housekeeping
- Assists in providing supplemental coverage for Board meetings; prepares and maintains meeting minutes and other Board actions
- Serves as liaison to internal and external teams for certain information; ability to field and prioritize requests using proper judgment
- Upkeep of corporate books and legal files
- Manages mail (USPS, FedEx, UPS, etc.), including distributing incoming mail/packages, date stamp incoming documents, and prepare outgoing certified mail/packages
- Prepare timesheets and expense reports
- Assist in managing team calendars and other team members’ calendars
- Assist with travel for team members
- Assist in arranging conference calls
- Completes various ad hoc projects for legal and compliance teams
- Additional duties and responsibilities as needed
- Candidate will train to perform junior level paralegal tasks and will provide back-up support for existing Corporate Paralegal
Qualifications

- Hold a Bachelor’s degree
- Have a minimum of one year experience working in a similar role either in a law firm or an in-house legal department
- Are punctual and reliable
- Have excellent time management and organizational skills
- Have the ability to complete tasks with accuracy and great attention to detail
- Have the ability to maintain the strict confidentiality of sensitive and/or speculative information
- Are able to interact in a professional, friendly, and client-focused manner with all levels of staff across multiple departments and offices
- Have the ability to work in a fast-paced industry that can be opportunistic and deal-driven
- Are able to complete tasks within a culture of compliance, adhering to corporate/compliance policies and directives
- Can work independently and complete tasks with minimal supervision, often from verbal directions
- Can work with a team of busy professionals who may travel, work from job sites/satellite offices/other company locations or otherwise work/communicate remotely; possess a level of comfort in serving as the client-facing team representative while in the department alone
- Have proficiency in Microsoft Office Suite required
- Have experience using SharePoint, Adobe Acrobat and DocuSign a plus
Ideally, you will also…
- Hold a Paralegal Certificate from an ABA approved program preferred
- Have experience working with a corporate legal team preferred
