We Require
- Three years of administrative and/or technical support experience
- High school diploma or GED
- Post-secondary education may substitute for the experience requirement on a year-for-year basis
- MUST BE BILINGUAL FOR THIS ROLE (ENGLISH/SPANISH)
Job Contributions
- Reviews data to ensure accuracy and completeness for quality control; updates or modifies the administrative workflow progress of applications; research permit applications, makes administrative application changes in the database, modifies existing permit files using specialized in-program system feature, and notifies appropriate staff of any ownership changes made at the time of application
- Communicates with customers through verbal, written, or electronic means regarding financial issues such as billing and payments; assists internal customers with internal accounts, billing, and collections
- Gathers customer and staff's requests for inspections; retrieves permits and related documents; and compiles inspection packets
- Works collaboratively with department employees, contractors, and customers to ensure completion of permitting and inspections; Updates data in the corresponding electronic tracking system
- Refers complex questions to appropriate staff, uses standard processes; uses real property legal descriptions to locate property, and permits information stored in various departments, counties, and other files and databases
- Records personal productivity in the database for tracking project hours and work types; researches and retrieves data from the electronic data system files, and uses the data to prepare reports; assembles and reports monthly program productivity data
- Compiles financial reports for permits, including hourly fees due, unpaid renewal fees, fees owed, or expenses incurred or projected; researches payment inquiries and questions from the public or staff
- Distributes inspection materials to employees using standard procedures for the program, including scanning and e-mailing paper documents, pulling paper files from storage cabinets, or manipulating electronic files; updates electronic data tracking systems using standard procedures for the program as required
- Archives or destroys documents based on standard criteria, including moving documents electronically or physically packing and moving archival boxes, rolled blueprint cartons, or other containers
- Other Job Duties as assigned
Working Conditions
- Must possess or have the ability to obtain a valid Arizona Driver's license at the time of hire
- Exerting 50-100 lbs. occasionally, 10-25 lbs. frequently, or up to 10-20 lbs. constantly
- The position is typically office or administrative work and is not substantially exposed to adverse environmental conditions
- Machines, Tools, Equipment, Software, and Hardware: Windows, Muli-line Phones, Scanner/Copier
