As the Records Specialist, you will perform complex administrative tasks that involve the process of researching, processing, and reconciling arrest records to update criminal history records using records management systems and other state and federal agencies.

We Require

  • Two years of administrative and clerical experience

  • High school diploma or GED

  • A combination of post-secondary education and job-related experience may substitute for the required experience on a year-for-year basis

We Also Value

  • Clerical or legal experience in a law office, judicial, or law enforcement environment that includes legal terminology and criminal law procedure

  • Experience in/with criminal history records including reconciling arrest information with court dispositions and/or prosecutors' dispositions

  • Experience entering and retrieving data into/from Prosecutor by Karpel (PbK), Integrated Court Information System (ICIS), Arizona Disposition Reporting System (ADRS), Justice Web Interface (JWI), or other legal record management systems

Job Contributions

  • Learn and follow the latest federal, state and county policies and procedures for criminal history records research and processing

  • Research and enter criminal history information in various databases including but not limited to; PbK, ICIS Justice Court database, ICIS Superior Court database, OnBase, JWI, and ADRS system.

  • Maintain a current TOC license with the Department of Public Safety

  • Research, process, scan, and update criminal histories and final dispositions reports using PbK, JWI, and ADRS.

  • Copy, distribute, and archive criminal history dispositions to law enforcement agencies and the Department of Public Safety

  • Accurately record daily and monthly individual productivity to ensure accurate reporting for organizational statistics and grant reporting

  • Analyze criminal cases for electronic record-keeping of criminal history information in the Prosecutor by Karpel record management system, ADRS and NCIC

Working Conditions

  • Work is performed primarily in a business office setting with long periods of sitting while performing computer activities

  • Must have the ability to travel to and from various county locations for meetings and trainings, utilizing personal or county vehicles

  • Must have the ability to lift boxes and/or pull mail carts weighing over 40 pounds

  • Must currently possess or have the ability to obtain a valid Arizona Driver's License at the time of hire

  • Must have the ability to obtain and maintain a security clearance

  • The Maricopa County Attorney's Office requires a thorough background check of all successful candidates and is authorized to test prospective employees for the presence of illegally accessed drugs. Testing is conducted once an offer has been extended and prior to placement
