Fleet Coordinator

Summary
This is an administrative and operational role that primarily focuses on coordinating fleet maintenance, repairs and overseeing the delivery and transportation processes. Develop recommendations for procedural improvements to improve efficiency and support business objectives. An overall focus on data collection, data integrity and customer service while representing professionalism within all relationships.
Essential Job Functions:
Serve as primary contact for our fleet division, and resolves any issues (accidents, maintenance, citations, and questions.) with a goal of ensuring customer satisfaction and timely resolution
Partner with our Accounting department to ensure mileage is being submitted in concur by conducting weekly audits
Audit Geotab/telematics of each vehicle to ensure the employees are following the company policy for entering personal and business miles on a weekly basis
Partner with our external vendors on transports and vehicle registrations
Coordinate and track assignments of vehicles for new employees and transfers
Assist the coordination of retrieving vehicles from terminated employees in a timely manner
Maintaining records of all auto policies by employee
Measure driver performance and safety
Set a preventative maintenance schedule and track the completion of these maintenance tasks by external vendors
Maintain our database of vehicle and driver information
Required Knowledge, Skills, and Abilities:
Ability to prioritize, organize, problem solve, meet deadlines and goals
Ability to communicate effectively and provide follow-up
Capability of working in a team-oriented environment that is fair, open and honest (in-office/remote)
Thorough knowledge of business policies
Excellent written/oral communication and interpersonal skills
Ability to build strong partnerships with all internal customers, both locally and in our corporate locations (in-office and virtually)
Integrity and ability to maintain confidentiality and personal credibility
Ability to tackle complex issues and develop innovative and practical solutions
Understanding of the Allegis organization; context, complexity, dynamics, key issues and drivers
Understanding how information impacts the operating company and how data will be used to support operating company decisions
Action and detail oriented; able to prioritize while handling multiple tasks
Quick and strong decision-making skills
Job Requirements:
2 years’ experience in a customer service-related position
Associates degree or two years of applicable experience in customer service
Four (4) in-office workdays per week and the option to work (1) additional day remote OR in-office.
