McGuireWoods has a need for an Docket Specialist to join its firm-wide docketing group in New York, NY. The Docket Specialist has a broad knowledge of the Federal Rules of Civil Procedure, state rules, local rules and court practices, and other applicable rules and regulations. As part of the firm’s software supported docket program, the docket specialist will use firm software to docket and report critical dates.

- Monitor all court filings (Federal and State) to extract sensitive critical dates and modify CourtAlert automated rule-set information with explanatory text when necessary.
- Preparation of documents for electronic filing in state and federal courts in compliance with each individual Court’s specifications.
- Serve and file legal documents (via CM/ECF and NYSCEF) in various state and federal courts and agencies.
- Deep understanding of docketing, filing-related technologies, and familiar with the CPLR, NY Commercial Division, FRCP, and FRAP.
- Ensuring delivery of working copies and courtesy copies of pleadings, motions, and other court required filings.
- Strong docketing data management skills required; prior hands-on working experience with CourtAlert preferred.
- Record documents with critical dates in CourtAlert Case Management System and verify calculated procedural due dates based knowledge of applicable rules and statutes.
- Request intake forms and open new cases in CourtAlert.
- Performs required legal research on applicable court rules and research on court orders.
- Work with vendors to obtain court files and other litigation-related support documents.
- Synching documents with the corresponding docket entries in CourtAlert.
- Interface with attorneys, paralegals and practice assistants, responding in a timely manner to questions regarding calendared events, pleadings, court procedures and modifications to compliance dates in the docket.
- Create and maintain basic/specialized docketing reports as requested.
- Prepare weekly and bi-weekly calendar reports and provide daily reminders to attorneys of upcoming appearances.
- Display professionalism, quality service and a “can do” attitude to all members of the firm.
- Works closely with the National Docket Manager, Managing Clerk and as a team player by helping other docket specialists.
- Perform additional duties as directed.
- Combination of college level training or paralegal certificate along with experience that demonstrates an ability to do the essential functions of the position.
- Minimum of two years of experience as a general litigation calendar clerk, docket specialist, paralegal, legal assistant or legal support role with docket responsibilities.
- Knowledge of CourtAlert (or similar docketing software), Pacer, Lexis-Nexis Practical Guidance and MS Office.
- Ability to rely on knowledge of federal, state and local rules of procedure and practice, to ensure that all deadlines reflected in court filings are accurately recorded and incorporate any client requirements into case management calendars.
- Excellent communication and interpersonal skills, as well as the ability to work with individuals at all organizational levels.
- Detail oriented and able to effectively organize, and handle competing priorities.
- Strong commitment to excellence in all docketing functions recognizing that accuracy and thoroughness in docketing deadlines is critical for the Firm, and its clients.
- Ability to quickly calculate common deadlines based on rules and local practices.
- Ability to effectively work under pressure in a demanding and fast-paced environment.
