What are the responsibilities and job description for the Receptionist & Records Processor position at Mecklenburg EMS Agency?
- Operate multiline switchboard, answering, directing phone calls and taking messages where appropriate.
- Greet incoming visitors and patients, answering questions and directing to appropriate personnel, assigning visitor access and badging when appropriate.
- Responsible for managing daily incoming and outgoing mail by collecting, sorting, distributing to proper recipient, and ensuring proper postage. Accepts and signs for special delivery mail and promptly notifies intended recipient.
- Review record and bill requests for appropriate HIPAA-compliant authorization and scan all requests into appropriate database(s). Provide requested information to patients and attorneys following HIPAA guidelines. Report daily to chain of command on records request processing, advising of any barriers to timeliness of process.
- Process subpoenas and legal requests for records to be mailed to the court.
- Provide patient records for walk-in requests.
- Assist with candidate assessments and new hire onboarding as requested.
- Assist Safety and HR departments with projects and Agency events as required.
- Maintain copy machine supplies, report problems and provide assistance as needed.
- Provide excellent customer service, advocacy, and resources for employees and visitors/guests.
- Work with Agency partners and print shop to obtain quotes and order print jobs.
- Create Agency phone extension list and disperse.
EDUCATION/EXPERIENCE:
- High School Diploma or equivalent required
- Six or more months of experience preferred
- Experience with multiline switchboard preferred
- Excellent verbal communication skills
- Demonstrated ability in the use of Microsoft products
- Ability to perceive and distinguish emotions during interactions with people via telephone and respond courteously
- Maintain acceptable attendance and adhere to scheduled work hours
- Ability to work within a team-oriented, fast-paced, customer-focused environment
Working knowledge preferred but not required of all Microsoft Office products to include but not limited to: Word, Excel, PowerPoint, Access and Outlook. Other software knowledge preferred but not required includes OnBase, TriTech and Siren. Knowledge of HIPAA laws is helpful.
