We help property owners reduce their tax burdens through strategic analysis, valuation, and appeals. Our Austin office is newly established and rapidly growing, backed by the experience and infrastructure of our 18-person team at HQ.
We’re seeking a proactive, detail-oriented Administrative Assistant to support our Austin consultants while working closely with our operations in Frisco. This is a dynamic role for someone who enjoys structure but also loves the opportunity to improve systems and contribute to a new office’s success.
Key Responsibilities
Administrative & Client Support
- Provide daily administrative support to consultants and leadership in the Austin office
- Manage calendars, coordinate meetings, and assist with scheduling ARB hearings
- Prepare and format client deliverables including engagement letters and appeal packages
- Communicate with clients to collect documentation (rent rolls, financials, etc.)
- Track deadlines and key dates related to the property tax protest cycle
- Generate internal reports from the database to support team operations and client communication
Liaison with Frisco HQ
- Act as the bridge between the Austin office and our operations team in Frisco
- Ensure all internal processes follow established SOPs and workflows
- Collaborate with HQ to identify and recommend operational improvements tailored to Austin’s needs
- Maintain consistent reporting and communication with Frisco-based teams
Document Management & Reporting
- Organize, scan, and maintain digital files for all property-related documents
- Track ARB results, settlement outcomes, and litigation communications
- Compile evidence packages for appeal hearings following district requirements
Business Development Support
- Assist in outreach efforts and proposal follow-up with prospective clients
- Help prepare introductory materials, pitch decks, and onboarding packages
- Coordinate logistics for local marketing or networking events as the Austin office expands
Qualifications
- 2 years of experience in administrative or operations support, ideally in real estate, legal, tax, or consulting
- Excellent organizational skills with strong attention to detail
- Clear and professional verbal and written communication
- Proficiency in Microsoft Office Suite (especially Excel, Word, Outlook); experience with databases or CRMs a plus
- Comfortable working independently with remote support and managing multiple priorities
- Strong collaborator who respects established processes but enjoys solving problems and improving systems
- Must be based in or relocating to Austin and able to work in-office full-time
