Job Description
The Medical Staff Services Operations Coordinator is responsible for the overall Medical Staff Services operations. This professional serves as the intake coordinator and facilitator for all workings regarding hospital privileges and payer enrollment. They function as the primary communication contact for the Medical Staff regarding privileging processes and status, scheduling, MSO updates, etc. The coordinator provides support to Medical Staff Services and is responsible for numerous issues and demands of the Medical Staff Services.
SHIFT AND SCHEDULE
Full Time: 8:00 AM – 5:00 PM
ESSENTIAL FUNCTIONS/PERFORMANCE EXPECTATIONS
- Functions as the primary communication contact for the Medical Staff regarding privileging processes and status, scheduling, MSO updates, etc.
- Manages the integration of Application Manager process to streamline the initial and reappointment application processes for hospital privileges and payer enrollment.
- Distributes and coordinates the intake of all initial and reappointment applications through Symplr Provider Application Manager.
- Deploys preapplications for initial appointment providers.
- Ensures all applications are complete and ready for credentialing process.
- Corresponds with Medical Staff, answering questions regarding Application Manager and application process.
- Instructs the Medical Staff on how to utilize Application Manager.
- Spearheads Meeting Management for all committee meetings facilitated by the Medical Staff Office.
- Schedules meetings o Communicates with committee members, distributing meeting materials as needed o Gathers agenda items and creates agendas in BoardEffect
- Sends meeting reminder emails
- Sets up meeting rooms
- Attends and takes meeting minutes o Maintains committee packets/binders
- Sends out Board of Trustees Approval letters Serves as the Departmental Safety Officer, educating and empowering on-site employees in quarterly safety training and communication.
- Manages the tracking of initial and reappointing providers with regards to COVID-19 Vaccination Mandate compliance.
- Manages the tracking of initial appointments, reappointments, resignations, and claim statements of vRad providers and communication with vRad Credentialing Specialist.
- Prepares and executes any Medical Staff/Hospital state and organizational audits and surveys.
- Coordinates the Medical Staff policy and contract maintenance.
- Maintains and edits all Medical Staff Services content on intranet and main website.
- Acquires office supplies for employee use.
EDUCATION AND EXPERIENCE
- An Associate degree or equivalent education and work experience is required, Bachelor’s degree preferred.
- Demonstrated ability to meet deadlines in a multi-functional task environment with excellent organizational and time management skills and the ability to establish daily work priorities.
- Proficiency in Windows-based word processing and spreadsheet software; basic office equipment familiarity; basic medical terminology; knowledge of basic records maintenance and retrieval systems; and knowledge of DNV requirements for medical staff and NCQA requirements for payer enrollment.
- Excellent communication skills, both verbal and written, along with astute judgment in areas of human relations.
