New Hanover County is looking for a customer-focused Administrative Technician to join the Cooperative Extension/Arboretum team.
The Arboretum encompasses seven acres of gardens and plantings dedicated to demonstrating the best plant species for southeastern North Carolina landscapes, proper horticultural techniques, aesthetic design, environmental stewardship, and research. It is a dynamic place, constantly changing to meet the educational needs of residents and green industry professionals, and to provide cutting-edge leadership in plant selection and use for this region.
Responsibilities for this role include:- Serves as office receptionist by opening and closing the lobby, answering and directing calls, greeting patrons, and providing information regarding all programs and affiliated organizations
- Prepares documents and forms which includes composing and typing correspondence; choosing and completing appropriate forms and applications; and compiling information and creating reports
- Coordinates office schedules and reservations to include reviewing schedules and making appointments; securing and confirming room reservations; maintaining computer-based scheduling programs; assist coordination of garden tour requests, coordinate vehicle use calendars, and maintains facility use calendars, key issuance and communications with requesting groups for facilities
- Processes request for facility reservations; communicates information as needed; tracks requests and updates county web based calendar program for confirmed facility reservations
- Enters, retrieves and maintains data on computer system; maintains records by developing and implementing electronic filing methods
- Retrieves and processes office mail by receiving and sorting incoming mail, calculating and affixing appropriate postage for outgoing mail via online software
- Maintains office supply inventory by monitoring stock levels and placing orders with vendors as necessary
- Receives, processes and receipts payments for all organizations
- Gift Shop volunteer coordination, communication, and scheduling; daily sales preparation and closeout
- Coordinates and schedules electronic sign and event board sign displays
- Assists with preparing and supplying informational materials
- Maintains the workroom/breakroom area to ensure orderliness and cleanliness
- Communications to county facilities management of facility needs via work ticket portal
- Collects and receipts donations from all garden receptacles
- At end of the day, communicate gardens closing with garden visitors; close and secure all gates and buildings
- Assist with processing affiliated non-profit fundraising efforts
- Other duties as assigned and as needed.
KNOWLEDGE AND SKILLS:
Communication and interpersonal skills as applied to interaction with coworkers, supervisor, the public, etc. sufficient to exchange or convey information and to receive work direction. Ability to interact calmly and professionally with a wide variety of cultures, abilities and situations.
Knowledge of filing techniques, general office operations, customer service techniques, basic accounting concepts, office equipment and supplies, phone answering techniques, and mail sorting and delivery concepts
Skilled in operating office equipment; typing; using a computer and related software applications; answering multiple phone lines; maintaining files; keeping logs; composing correspondence; making copies; providing customer service; sorting and distributing mail; processing outgoing mail. MS Office Suite; Google Workspace and Google applications.

Work Schedule
Hours are 8:00 - 5:00 Monday - Friday. Must be available to work during emergency situations.
Salary Information:
The hiring salary for this position begins at $36,325 plus a competitive benefits package. Salary will be determined based on qualifications, internal equity, budget, and market considerations.

- Qualifications
- Required Education and Experience:
- High School Diploma or General Equivalency Diploma (GED) and two years of clerical, data entry, administrative support or related experience; or an ccombination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
