Purpose of Job:
Improve the overall health of the communities we serve by providing administrative support for the organization as follows:
Essential Duties and Responsibilities:
- Responsible for supporting clerical needs of management officers and department managers as requested.
- Provides excellent customer service as point of contact for administration.
- Responsible for maintaining an efficient communication center for all incoming administrative calls.
- Professionally answers calls, takes messages and/or refers callers to appropriate individuals.
- Professionally and immediately greets all guests upon arrival.
- Organizes information, enters needed information intro appropriate systems in efficient and timely manner.
- Facilitating incoming/outgoing mail, copy projects and faxing.
- Receiving and distribution of supplies.
- Orders office administration supplies, marketing supplies, and other NEW Health branded supplies.
- Monitor all areas of the administration building for cleanliness and security.
- Opening/closing administration office (lights, phones, computers, office equipment)
- Maintains administration copy machines and postage meters in good working order.
- Responsible for filing documents as requested.
- Schedules facilities, equipment and food for various meetings/events.
- Assists HR Generalist in hiring process.
- Maintains confidentiality and professional attitude.
- Other duties as assigned.
Qualifications
Qualifications:
Education/Experience: HS diploma or GED required. Applicable additional schooling and/or formal training preferred. Customer service and multi-line telephone experience preferred. Office Administration or equivalent experience preferred.
Skills: Computer skills required. Excellent oral and written communication skills, including excellent telephone etiquette required. Exceptional customer service, time management and multi-tasking skills required. Attention to detail skills required. Ability to maintain high level of confidentiality required.
Physical Demands:
Required to stand, sit and be mobile 1/3rd to 2/3rds of the time. They are to use hands to finger, handle or feel over 2/3rds of the time; while reaching with hands and arms occurs 1/3rd of the day. Climbing or balancing, stooping, kneeling or crouching occurs less than 1/3rd of the time. Communication by talking/hearing occurs over 2/3rds of the day. Amount of time spent lifting or exerting force is about 50% for up to 10lbs and less than 1/3rd of the time up to 25-40lbs. Rarely is there a need to lift more than 41lbs.
