Purpose: (General description and summary)
The Property Management Bookkeeper will be responsible for overseeing our property management department’s financial health, meeting our third-party client’s financial goals, maintaining compliance with Oregon Real Estate Agency requirements and stabilizing our agency’s property management accounting.
Accountabilities: (Responsibilities of the job)
- Oversee the financial management of all properties, including the entry of rent payments for both internal and external property management portfolios.
- Manage and monitor multiple Client Trust Accounts.
- Perform mortgage and bank reconciliations.
- Prepare and deliver monthly financial reports.
- Analyze and review delinquency reports from YARDI in collaboration with the Portfolio Manager.
- Accurately interpret and generate financial reports using Yardi, Excel, and other platforms.
- Ensure compliance with OREA and OCHS financial reporting requirements.
- Supervise the processing of vendor billings and payments, maintaining accurate and comprehensive accounts payable records.
- Verify that all journal entries are complete and accurate.
- Ensure general ledger accounts are accurately maintained and reconciled.
- Guarantee proper coding and classification of general ledger accounts.
- Provide necessary financial statements and reports to internal stakeholders and third-party clients.
- Manage and process proper billback allocations.
- Collaborate with compliance teams on collections and ensure adherence to state reporting regulations.
- Assist in budget preparation and due diligence processes.
- Complete move-in and move-out entries in Yardi.
- Handle the processing of 1099 forms, collection of W9 forms, and filing of annual and quarterly taxes.
- Offer support to other departments as needed.
- Prepare and send balance owing letters to tenants.
- Compile and maintain monthly delinquency reports.
- Process and issue non-payment notices.

Education and Experience:
- Oregon Property Manager License is preferred but not required.
- A minimum of 3 years of experience in Property Management.
- At least 2 years of accounting or bookkeeping experience, preferably within a property management context.
- Familiarity with OCHS and OREA compliance monitoring, and a solid understanding of Client Trust Accounts is preferred, but not required.
- Exceptional written and verbal communication skills.
- Intermediate proficiency in analyzing and interpreting complex financial documents, including balance sheets, profit and loss statements, Excel spreadsheets, YARDI financial reports, and similar materials.
- Ability to work effectively in a dynamic, evolving organization and adjust to changes in structure and priorities.
- Intermediate proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook, as well as database applications.
