Job Description:
As the Medical Office Receptionist, you will play a crucial role in creating a positive first impression for our patients and their families. You will be responsible for managing the front desk operations and ensuring the smooth flow of daily activities at the clinic. Your primary goal is to provide exceptional customer service and support to both our patients and the clinical team.
Key Responsibilities:
- Greet and Assist Patients: Warmly welcome patients and their families as they arrive at the clinic. Ensure a friendly and empathetic atmosphere to ease any anxieties.
- Check-In and Check-Out: Ensure a smooth check-in and check-out process for patients. Provide any necessary paperwork, instructions, or information.
- Insurance Confirmations: Quarterly checks with each patient to confirm no changes in their insurance.
- Scheduling and Appointments: Manage appointment check in/out, confirmations, and cancellations. Collaborate with our Scheduling Specialist to meet patient needs and requests.
- Patient Referrals & Registration: Collect and verify patient information, insurance details, and medical history. Maintain accurate and up-to-date patient records in our EMR software in compliance with privacy regulations.
- Document Handling: Collect and file documents for patient files as needed.
- Records Requests: Following the clinic's guidelines, process all requests for medical records.
- Session Viewing: Set up devices and check in/out with parents so they can view therapy sessions of their child.
- Billing and Payments: Process payments, provide fee information, and assist with insurance-related inquiries. Collaborate with the billing department as needed.
- Phone and Email Correspondence: Answer phone calls, respond to inquiries, and relay messages to the appropriate staff members. Monitor and respond to emails in a timely manner.
- Survey Distribution: Distribute yearly and parent surveys as needed.
- Student Shadow Management: Coordinate shadowing program for college students observe our therapy providers.
- Maintain Cleanliness: Keep the reception area, waiting room, and common areas tidy and welcoming. Restock brochures and informational materials as needed.
- Compliance: Adhere to all clinic policies and procedures, including HIPAA regulations, to maintain patient confidentiality and clinic integrity.
- Assist Clinical Team: Provide administrative support to therapists and clinicians, such as preparing patient files, collecting and organizing assessment materials, and assisting with paperwork as necessary.
- Problem-Solving: Address patient concerns and issues professionally and with empathy. Escalate complex problems to the appropriate department or supervisor.

- Previous experience in a medical or healthcare receptionist role is advantageous.
- Strong interpersonal and communication skills with a caring and empathetic demeanor.
- Proficient in computer applications and electronic health records (EMR) systems.
- Ability to multitask, stay organized, and work efficiently in a fast-paced environment.
- Knowledge of basic medical terminology and insurance procedures is a plus.
- Willingness to undergo background checks and comply with clinic policies.
