What are the responsibilities and job description for the Administrative Assistant position at Northgate Resorts Jellystone Park?

The Administrative Assistant is responsible for assisting the General Manager with package and delivery management, accounting, human resources, and other administrative, operational functions for the camp-resort. The most suitable candidate will display flexibility in their ability to change tasks and directions quickly. As well as practical and detail-oriented communication and task completion. The is a year round full-time position and reports to the General Manager.
DUTIES & RESPONSIBILITIES
Office Management
  • Keeping the staff office and kitchen clean and organized
  • Help maintain stock of essential items in the staff office
  • Be the primary delivery point of contact
  • Help onsite coordination of any large deliveries
  • Organization of packages received daily and make sure they get to the correct department
  • Help manage storage areas and document where items are stored
Accounting
  • Accurately and efficiently process all accounts payables and receivables;
  • Reconcile location bank deposits and credit card statements;
  • Ensure accuracy and compliance with cash handling procedures;
  • Learn and utilize Northgate Resorts’ point of sale system to prepare reports
  • Assist General Manager with completion of MEA’s and project invoices
Human Resources
  • Ensure timeliness and accuracy of new hire onboarding and offboarding paperwork, including I9 verification and system access requests;
  • Monitor compliance with Northgate Resorts’ training standards;
  • Ensure accuracy and completeness of timecard approvals;
  • Review, screen, and interview interested candidates;
  • Lead on-site and off-site employment job fairs
  • Assist in processing safety incident reports for employee and guest injuries, including property damage
Other Essential Duties
  • Respond to guest inquiries using Northgate’s service recovery guidelines;
  • Present professional appearance and attitude at all times, and maintain a leading standard of customer service
  • Participate in other projects and activities as assigned
EDUCATION/TRAINING/EXPERIENCE
  • 1-2 years experience in an administrative role, preferred
  • Experience with Excel and cash-handling required
QUALIFICATIONS/REQUIREMENTS
  • Strong computer skills are required
  • Excellent communication, organizational, and problem-solving skills
  • The ability to handle confidential information appropriately
  • Strong attention to detail, speed, and accuracy
  • Ability to multi-task and work in a fast-paced environment
  • Strong work ethic and a positive attitude
  • Required to work nights, weekends, and holidays
  • Work with minimal supervision
ESSENTIAL PHYSICAL DEMANDS
  • Able to lift up to 20lbs
  • Must be able to remain in a stationary position
  • Regularly move throughout the office
  • Continuously climb, balance, stoop, kneel, bend, crouch, and crawl
  • Able to manipulate fingers, hands, and arms to reach, carry, lift, etc.
