Job Summary
NTS Contractors is seeking a reliable and highly organized Administrative Assistant to support daily office operations. The ideal candidate will be detail-oriented, proactive, and comfortable working with CRM systems and basic accounting functions.
Responsibilities
- Provide administrative support to management and staff
- Answer and direct phone calls and emails
- Schedule meetings, manage calendars, and coordinate appointments
- Prepare and organize documents, reports, and presentations
- Maintain filing systems and ensure accurate records
- Help keep HubSpot CRM records up to date and accurate
- Assist with Accounts Payable (AP) and Accounts Receivable (AR) tasks
- Assist with onboarding and basic HR tasks
- Manage office supplies and coordinate with vendors
- Support special projects as assigned
Qualifications
- High school diploma or equivalent
- Previous administrative experience preferred
- Experience with HubSpot or other CRM systems a plus
- Experience with QuickBooks Online (QBO) required
- Basic understanding of AP/AR processes required
- Strong written and verbal communication skills
- Proficient in Microsoft Office
- Excellent organizational and multitasking abilities
