Position Overview: 
The Electronic Records Analyst manages physical and electronic records throughout their life cycles for all NYCEDC departments. This includes but is not limited to creating detailed record inventories for accurate search and retrieval to comply with the companywide retention schedule and policy, providing excellent customer service, and developing and adhering to policies and standards.

Essential Duties and Responsibilities:

  • Performs basic functions for the Records Management department, including evaluation, inventory, and indexing of physical and electronic records according to business function.
  • Determines proper classification and storage of records; determines indexing and search criteria.
  • Evaluates retention categories and retention schedule requirements; maintains or disposes of records and files in accordance with internal policies and applicable laws, statutes, and regulations.
  • Develops methodology and procedures for describing records and related systems to ensure effective operation and utilization of the records management database and other tools and systems.
  • Identifies and analyzes records systems; proposes solutions to meet program and system requirements.
  • Reviews documents for accuracy and clarity to avoid duplication of information, ensure accuracy of data, and to provide accurate search and retrieval.
  • Adhere to quality control standards and best practices set forth.
  • Responds to requests for records research, orders, deliveries, pick-ups, uploads, and database training.
  • Develops and delivers records management training, promotional, and educational materials on systems, program compliance, and best practices.
  • Provides input for the Company’s records policies and guidelines by analyzing business processes.
  • Assists in planning, development, and implementation of records management programs for Company departments and related entities.
  • Assists in establishment of business processes and workflows for physical and electronic records.
  • Performs a wide variety of special projects and duties as they relate to records and information management activities.
  • Other duties as assigned.

Qualifications:

  • Bachelor’s degree.
  • 3 years professional experience in archives, libraries, or records management.
  • Demonstrates effective customer service skills such as experience conducting reference searches and/or serving on help or reference desk.
  • Experience working with digital documents in an archives, library, or records management setting.
  • Foundational knowledge of records management concepts and principles (including but not limited to classification, life cycle management, and conversion).
  • Knowledge of metadata standards and schema and how to apply them to records.
  • Excellent analytical, administrative, organizational, and problem anticipating/solving skills.
  • Demonstrates excellent written and oral communication skills.
  • Proactive “self-starter” and “team player”.
  • Able to work collaboratively with internal and external stakeholders and lead discussions and meetings.
  • Foundational knowledge of records, archival databases, and/or online catalogs.
  • Proficiency in Microsoft 365.
  • Ability to lift boxes of records weighing up to 40lbs.
  • New York City residence is required within 180 days of hire.

Salary Range: $64,000 - $66,000
