Job Summary:
Oak City Academy is seeking a Development Coordinator to support the Development Department and functions as the assistant to the Advancement Director in achieving the school’s fundraising and community engagement goals. This role combines administrative, event coordination, donor relations, and collaboration with the marketing department to ensure the seamless execution of initiatives that advance the school’s mission.

Knowledge, Skills, and Abilities:
- Understanding of and proficiency in google suite
- Technical ability to work with various software programs and learn new ones as needed (Ex. Google Docs, Trello, Canva, Monday.com, Hubspot, and school specific platforms)
Key Responsibilities:
Advancement & Donor Relations
- Advancement/Development Support
- Assist the Advancement Director in donor research, stewardship, and tracking contributions, interactions, and meetings using donor management software.
Event Coordination
- Coordinate event details, including scheduling, vendor communication, and day-of logistics.
- Assist in organizing and adding events on the Advancement Calendar such as open houses, Grandparents/VIPs Day, fundraisers, one-on-one meetings and donor appreciation receptions.
- Serve as a liaison between the development, enrollment, and marketing teams to ensure events are effectively carried out.
Administrative Assistant Duties
- Assist Advancement Director with meeting scheduling, calendar management, meeting organization, and any additional departmental needs.
- Print out a weekly schedule for Advancement Director and email the schedule each Friday
- Printing copying (and designing if needed) materials for advancement events/initiatives
- Prepare meeting agendas, take minutes, and distribute follow-up tasks as needed.
- Manage calendars and deadlines related to advancement and marketing projects.
- Handle correspondence, emails, and inquiries in a professional and timely manner.
- Maintain accurate and up-to-date records of donors, sponsorships, and fundraising progress.
- Utilize online platforms for advancement activities
- Provide support for Advancement hospitality needs including coordinating meal orders for meetings, assisting with food/drink/lunch needs, or managing occasional store runs for office supplies or meals.
- Create and send donor communications including acknowledgment letters/emails/phone calls/newsletters, receipts, and other communications to nurture relationships with current and prospective donors.
- Help plan and execute fundraising campaigns, including annual giving, capital campaigns, and special projects.
- Coordinate logistics for and attend donor appreciation events, volunteer gatherings, onboarding orientations, and community outreach initiatives.
- Support, care, and communicate with all champions
- Deposit checks, mail letters, and manage tracking of donor finances
- Coordinate development initiatives alongside classrooms, teachers, and deans as needed

Physical Demands:
- The physical demands of this position are light to medium and include setting up for events, which may include moving tables, setting up chairs, moving bins, etc. The employee will also order or go to the store to purchase various items for admissions events during work hours.
Work Environment and Expectations:
- The Employee has read and can support the Oak City Academy Statement of Faith, Core Values, Proven Process, and Mission Statement, collectively attached hereto as Exhibit A. The Employee acknowledges the Employee can teach or conduct themselves in full accordance with these documents.
