We are looking for one (1) experienced veterinary assistant looking for a great opportunity for experience, mentorship, and growth in specialty medicine to join our growing, 3 cardiologist practice.
Olympic Veterinary Cardiology is an independently owned and cutting-edge provider of veterinary cardiac healthcare in the greater Seattle and Everett, WA area. We care for patients through our mobile/concierge services as well as through our Outpatient Center located in Everett, WA.
When clients hear their pet has heart disease, it’s scary, and often leaves them wondering if there’s anything that can be done. We work alongside their trusted veterinarian to diagnose the disease and develop the right plan. This allows the pet to receive the best care possible and the chance to get back to loving life.

Our assistants are the doctors right-hand person. The work is dynamic and very fast-paced. This is a hybrid position that will work both in our outpatient cnter clinical setting as well as our mobile service.
Basic mobile duties will include:
- Driving to multiple partner hospitals
- Set up and break down of equipment
- Animal handling and restraint
- Organizing mobile routes
- Coordinating with teams at each hospital for efficient case evaluation
- Phone and email communications regarding patients
- Ensure smooth operational flow throughout the day
- Other duties as assigned
Clinic duties will include:

- Surgery and pack room assistance

Qualifications:
- Veterinary assistant training (academic program graduate or longer-term in-house training both acceptable) with ideally 1 year of experience (less experience will be considered for this position, based on each candidate’s background) in a clinical setting with specific understanding of identifying dyspneic and distressed animals (cats and dogs primarily) along with identifying signs of stress/anxiety and aggression to ensure the patient and team remain safe.
- You will need to demonstrate a strong knowledge of resource management, team-focused mindset, customer service, conflict resolution, and email and phone etiquette.
- The position is based in Everett, WA, but travel in the company vehicles can range from Mt. Vernon to West Seattle (although not in the same day ;-) ). Morning meet ups will be in Everett, if mobile then travel to the patient based on each day’s schedule or in hospital for appointments and/or procedures. Our standard business hours of operation are Monday through Friday, 7:30am – 5:30pm. As this is a hybrid position that works in both operational settings, availability for a combination of 4 10-hour shifts, Monday through Friday is required. No after hours on-call or weekends are required.
- Driving a company car is periodically required. Candidates must have a clean driving record and allowed to drive company vehicles by our insurance carrier (historic DUI, excessive speeding tickets, suspended license – please do not apply – while we will still love you, our insurance carrier will not allow you to be hired).
- Excellent animal restraint skills required with emphasis on creating a low-stress environment for the patient to undergo diagnostics in an efficient manner.

- An understanding the importance of optimized processes and streamlined workflow, but willing and able to assess the situation and improve irrelevant, repetitive, and outdated processes to bring all of our game up a level (and oh yes, that bar is already set high, so bring your best!)?
- An empathetic demeanor and eagerness to help stressed people get their furry family to optimal care, while also ensuring the appropriate expectations and boundaries are set and maintained?
- An eagerness to ‘jump in’ and make everything better because you showed up?
- A natural hunger to learn, grow, and thrive coupled with a healthy slide of humble pie? None of us know everything – but together we WILL figure it out!
- A natural sense of urgency with client communications? (typical replies would be by end of business day, but definitely within 24 hours).
- An ability to use and learn multiple software systems for various tasks (accounting, medical records, emails, electronic notes/tasks)?

The right person will:
- Coordinate morning schedules for efficient case evaluation and traffic flow.
- Coordinate in-clinic and partner clinic case evaluation schedule for optimal flow (does anyone need sedation? Does anyone need extra hands? Anyone need a muzzle? Anyone have a same-day procedure pending?)
- Ensure patient records are in Timeless (mobile) or Instinct (clinic) and request input if not present.
- Ensure patient comfort in kennel and water is present for every cardio patient at both partner hospitals and the outpatient center.
- Set up equipment (Echo, ECG, BP, Laptop, Ultrasound Table) and pack up for each stop.
- Ensure client inquiries are fully answered or appropriately routed for necessary follow up.
- Comfortable in meeting with clients in person and occasionally via web meeting.
- Comfortable meeting for all-staff meetings in person and/or via a web meeting.
- Engage and learn new software and skills, as needed.
- Know how to analyze situations and determine immediate solutions within our core values, principles, and level of expertise.
- Display unparalleled customer service skills in person and via phone and email in all interactions with team members, partner hospitals, and pet owners.
- A willingness to learn and grow, challenging some of the long-standing problems in the industry (such as poor boundaries and late-night/after-hours work you aren’t paid to do).

Compensation and Benefits:
This position is a salaried position, based on a typical 4-day 10 hour/day schedule 7:30am-5:30pm but if a 5 day work week is undertaken, an over-time stipend will be paid for that day. We focus on compensating you for the work you do, not how many hours you’re there. When we are efficient and finish the day smoothly and early, we can go home and no loss of pay will occur.
