We are seeking an Executive Assistant to support senior executives in our Midtown Manhattan office. This role is responsible for calendar management, prioritizing meetings, travel arrangements, and ensuring high levels of effectiveness, communication, organization and confidentiality. This position will also provide general office management support for the office. The ideal candidate will be highly motivated, able to multi-task, reliable, organized, detailed, and driven to produce high quality work.
Responsibilities:
Executive Administrative Role
- Provides confidential assistance and support to executive staff.
- Compiles data to prepare documents and/or presentations for review; assisting with meeting preparation.
- Responds to requests for information as appropriate; conducts necessary research to respond to specific inquiries.
- Maintains calendars including events, meetings, due dates, and schedules and notify participants as needed.
- Handles travel arrangements.
- Creates, maintains, and organizes files.
- Prepares summaries, spreadsheets, and reports as assigned.
- Reviews incoming documents and correspondences for accuracy and validity; ensures that any deadlines are known and complied with.
- Utilizes current technologies to enter, store, and/or retrieve information as required.
- Partner with administrative staff on team engagement activities and share best practices on delivering best-in-class administrative support
Office Management Role
- Manages the reception area to ensure mail and packages are distributed in a timely manner.
- Maintains consistent inventory of offices and pantry supplies including stocking of supplies
- Partners with Facilities, HR and other leaders on office-related events, legal posting requirements and other ad hoc tasks.
Knowledge, Skills, & Abilities:
- Operation of computers, scanners and related software and business applications including, but not limited to: word processing, templates, spreadsheets, presentation software, databases, window OS, Web browser, cloud-based services and programs, email, imaging and scanning.
- Maintain sensitive and confidential information.
- Communicate effectively and be comfortable working as part of a team.
- Create and maintain complex and extensive records and reports.
- Analyze complex situations and implement effective solutions.
- Respond to questions and request for information in an efficient, appropriate, and professional manner.
- Perform duties independently without close supervision.
Qualifications:
- Minimum of 7-10 years of experience supporting C-suite executives required; experience in financial services highly preferred.
- High School Diploma or GED required
- Exceptional proficiency in managing calendars, priorities and schedules for executives.
- Exceptional written and verbal communication skills.
- Ability to meet deadlines in a fast-paced, quickly changing environment.
- Exceptional proficiency in organizational and critical thinking skills.
- Proficiency with office software including Microsoft Office, with expertise in MS Word, PowerPoint, and Excel.
