Parametrix, a leading engineering, planning, environmental sciences and construction management firm, is seeking a CONSTRUCTION DOCUMENTATION SPECIALIST. This position will join our Puget Sound Community Building team. We are working remotely due to COVID; however, this will be a hybrid position with travel to support client and project collaboration within the Puget Sound. Our team works for a variety of clients, including local municipalities, state agencies, ports, tribes, and private developers.
Who you are:
Experienced: You will have the opportunity to provide documentation for multidisciplinary clients and projects. Among other duties, this position will:
- Prepare agenda and taking meeting minutes
- Maintain federally funded project documentation
- Conduct labor compliance – Including review of request to sublets and tracking
- Check for intents/Affidavits
- Track and monitor submittals/RFI’s
- Prepare Field note records for pay request
- Review daily reports
- Maintain SharePoint site or other electronic management systems
- Process and track force account work
- Support project managers with prebills and invoicing
- Prepare invoice letters
- Manage project budgets
You have a background in providing technical and administrative support and document coordination. You are proficient in MS Word, Excel, SharePoint, and PowerPoint (MS Project and/or Primavera experience is a big plus); and have familiarity with federally funded projects (LAG; Local Agency Guidelines). You have previous experience working with an integrated team at a project site and/or office setting.
Organized: This position requires someone who is proactive, professional, organized, and meticulous. This person should be comfortable travelling to and from project construction sites and having to wear proper safety gear (hard hat, vest, appropriate footwear, and safety glasses).
Flexible: You may also coordinate the planning, budgeting, and scheduling of administrative and project-related functions; prepare, edit, and distribute documents; collaborate with teams across Parametrix regarding deadlines for documents, contracts, and pre-bills; schedule appointments and coordinate meetings and travel; and maintain data and/or filing.
Relationship & Communication Focused: Must have strong interpersonal skills, collaborative approach, and be willing to work with inspectors, resident engineers, public clients, and contractors as a Parametrix employee. The successful candidate must have excellent verbal and written communication skills, a high level of professionalism, positive attitude, and an incredible work ethic. You are willing to follow up on information, ask questions and collaborate, collaborate, collaborate!
