With a staff complement of 200 strong, we serve a radius of 100 miles around Missoula with a broad array of professional healthcare including nursing, occupational therapy, physical therapy, social work and bereavement support. Our programs encompass Home Health, Hospice (the largest Hospice in the community), Home Infusion, Home Medical Equipment (including home modifications for those who want to age-in-place) and HCBS (the Medicaid “waiver” program that supports those who wish to live with independence).

Job Summary:

 

The Administrative Assistant for Office Services provides support to Reception, Human Resources and Finance.

  • Reception: Professionally greets and assists clients and visitors.  Receives and routes telephone calls.  Ensures accurate routing of messages in a timely and courteous manner.  Monitors and re-stocks administrative supplies.  Assists with clerical duties.
  • Human Resources: Enters data and updates the HRIS platform; creates new badges for employees; tracks education reimbursements, loan forgiveness and leaves of absences; provides event support.
  • Finance: Posts supplies to patient accounts; processes incoming mail; batches checks and interfaces with the bank on deposits.


Essential Duties and Responsibilities:

 

  • Performs receptionist and support duties for Office Services, Human Resources and Finance, including but not limited to, coordination of incoming calls and visitors, delivery of message, and paging staff members, performing data entry and posting transactions to patient accounts.

 

  • Prepares all outgoing mail, determines necessary postage or delivery method, and arranges for delivery or pickup by appropriate service.

 

  • Routes incoming mail to appropriate personnel; processes Finance departmental mail.

 

  • Under direction of the Office Services Manager, monitors and re-stocks administrative and break room supplies.

 

  • Provides staff clerical support, such as copying, faxing, etc., as needed. Such support is directed and coordinated by the Office Services Manager.

 

  • Coordinates duties with other job-shared Receptionist.

 

  • Performs other duties as assigned by supervisor.


Minimum Qualifications:

 

Qualifications include one to three years of general office experience.  Proficiency with computers and other office machines, such as copiers, fax machines, postage meters, etc.  Requires excellent interpersonal skills.
