The Administrative Assistant plays a pivotal role in ensuring seamless operations when an Administrative Assistant is unavailable, guaranteeing uninterrupted administrative support. It involves the daily provision of administrative assistance to executive-level staff, a critical factor in nurturing strong and positive relationships with our patients and clients.
Moreover, the role extends to offering coverage within the Medical Records and Personal Injury departments when no specific tasks are assigned. Essential Duties and Responsibilities
- Provides training to new and current Administrative Assistants.
- Updates Administrative Assistant procedures, resources, and training manual.
- Performs administrative/clerical duties including preparation, processing, faxing, and mailing of general and advanced correspondence, memos, charts, tables, graphs, etc.
- Schedules and organizes complex activities such as meetings, travel accommodations, department activities, depositions, and record reviews.
- Assists in the management of the daily clinic schedules, on-call provider, and physician's personal calendar, to include any surgery schedule needs.
- Coordinates physician credentialing (privileges) for hospitals, completes membership applications, and coordinates educational credits, etc.
- Handles confidential, time-sensitive, and non-routine information.
- Sorts and distributes mail and determines the level of priority, including managing the process of all internal paperwork.
- Takes messages and/or answers all routine and non-routine questions.
- Offers clinical support: Works with the Medical Assistant to ensure optimum patient care and timely follow-up on all patient correspondences.
- Schedules patient appointments, depositions, medical records reviews, and any outside service as required.
- Ensures physician's Curriculum Vitae is accurate and updated.
- Works closely with the physician to develop and accomplish goals and strategic plans: Biweekly financial analysis as mandated/requested by the physician (Clinic/Surgery, Outside Services, Personal Injury, etc.)
- Performs light marketing tasks: builds, maintains, and enhances existing client relationships as mandated/requested by the physician.
- Assists the Medical Records department (processing requests, answering phones, responding to emails, running the mail room, etc.) when not assigned to other tasks.
- Assists the Personal Injury department (scheduling patients, performing case management, responding to voicemails and emails, etc.) when not assigned to other tasks.
- Assists management with special projects such as planning/executing lunches/dinners, educating/training staff, researching/updating resources, etc.
- Other duties may be assigned.

Education and Experience
- High school diploma or general education degree (GED).
- Associate or bachelor's degree preferred.
- Minimum two to three years executive support level experience at in a high-volume atmosphere.
- Prefer experience in a health care organization that includes basic knowledge of insurance plans, coverage and procedures.
