What are the responsibilities and job description for the Assistant Project Manager position at Pete DeLuke & Associates?
1) Print plans and specs for bids
2) Send out for pricing as needed including as much info as possible (take-off from PM, specs, architects, etc.)
a) Follow up on pricing to ensure PM receives it in time for bid
b) Request Bid Bond as required.
3) Complete Pre-Qualification forms as requested
4) Set up New Job files
a) Fill out project information on Budget Sheet
i) PM to complete budget numbers
b) Confirm contract received
c) Request COI, Bonds and other documentation as required by contract (BWC, etc)
d) Create Work order with directions attached
e) Return file to PM to complete final information and to give to Charlotte to enter
5) Submit information for background checks for field personnel as required by project
6) Manage written communication such as faxes and transmittals
7) Process PO’s for orders that PM’s release.
a) Contact vendor for delivery date
b) Submit PO
c) Confirm PO received and processed
8) Follow up on material orders to ensure they will be shipping on time
a) Create and maintain daily reports on material status for each PM for each project.
9) Write up mistakes/warranty sheets as directed by PM
a) Reorder material as needed
10) Coordinate small projects(less than $1000)
11) Coordinate return of “bad material” from jobsite to Piqua for return to Vendor for credit (mostly glass). Track progress of credit…update A/P department.
12) File PO’s and paperwork for PM’s in the correct order the job file is to be kept in
13) File freight claims and follow up on freight claims.
