Job Description
DISPATCHER
REPORTS TO: Plant Manager / Assistant Plant Manager
STATUS: This is a Full-time non-exempt position
SUMMARY: This position is responsible for coordinating deliveries of petroleum products to designated accounts and locations. Dispatcher must be able to own the dispatch of drivers for safe delivery of fuel. CDL and fuel delivery experience heavily preferred. Open to someone without CDL if they have extensive dispatch experience in a similar industry. The position schedules and assists driver activities related to deliveries including invoicing and driver logs to ensure proper delivery and billing of products. Ultimately ensures customer satisfaction through an efficient delivery process.
DUTIES & RESPONSIBILITES
- Receive and setup new customer accounts and delivery options based on product type, usage, and delivery dates.
- Maintain new/existing fuel delivery accounts using Excel, Word, and Company software programs. Accurately maintain a database system on a daily basis and review/verify all truck fuel accounting prior to customer invoicing.
- Schedule, coordinate, and assign fuel driver deliveries. Review trip reports and local deliveries to assure proper delivery and accurate reporting.
- Provide exceptional customer service through all phases of product delivery for all customers.
- Responsible for the efficient, accurate and timely delivery of products and accurate recording of the deliveries.
- Work in an office and adapt well to a “team” environment focused on being the “Best in Class” petroleum distribution company.
- Other responsibilities as assigned by immediate supervisor including answering phone calls, receiving walk-in customers, perform invoicing, and completing other duties as required.
KNOWLEDGE, SKILLS & ABILITIES
Must be familiar with commercial delivery transport operations.
Must work well with people and be able to use independent judgement in dealing with problems with respect to delivery schedules, people, and equipment.
Must be motivated and able to work independently, learn to anticipate potential issues before they occur, and improve dispatch operations regularly.
Possess clear and concise written and verbal communication skills,
Must have a general knowledge of account software and accounting practices.
Requires a solid understanding of email, word processing and spreadsheet applications.
Must work well under pressure and be able to use independent judgement in dealing with potential problems with respect to delivery schedules and problems with personnel and equipment, etc.
Display a “Winning Attitude” that represents the Company business operations in a professional and courteous manner, as this role serves as an inside marketing representative of the company.
WORK EXPERIENCE
2-years’ experience in a driving or transportation position and office environment familiarity. Will consider related experience that illustrates skills necessary to perform essential job duties and responsibilities.
HIRING REQUIREMENTS
- High School Diploma or equivalent
- Knowledge of routing and local area/streets
- Working knowledge and proficiency in using Microsoft Office software (Word, Excel, Outlook, etc.)
- Strength and accuracy required in math, accounting, and basic reconciliation skills
- Clear and concise written and verbal communication and interpersonal skills
- Well-developed office work skills
- Previous dispatch experience desired
PHYSICAL REQUIREMENTS
LANGUAGE SKILLS
Ability to read, analyze, and interpret technical regulatory compliance documents. Ability to respond to common inquiries or complaints from employees, customers, or regulatory agencies. Ability to write and effectively communicate utilizing e-mail. Ability to communicate effectively with all employees and facilitate problem resolutions.
PHYSICAL DEMANDS
This is primarily an office desk position. Individual may need to sit or stand as needed. May require walking primarily on a level surface for periodic periods throughout the day. Answering the telephone, typing, writing, reaching, communicating on phone and radio. Proper lifting techniques required. Ability to occasionally lift 5-25 lbs.
WORK ENVIRONMENT
For the most part, exposure is ambient room temperatures, lighting and traditional office equipment as found in a typical office environment.
